We are currently looking for a Full Time Dental Operations Manager to join our Dental Clinic Team 4 team located at the Tishomingo Health Clinic working 8:00AM-5:00PM - Mo Tu We Th Fr.
Summary:
Oversees the daily operations of the Dental Clinic and manages and coordinates dental support services. This position, in close collaboration with the Vice Chief of Dental Services, oversees the operation of general dentistry and hygiene services. This position is accountable for the quality-of-care patients receive and the performance of personnel under their supervision.
- Oversees the comprehensive operations of the Dental Clinic, ensuring that all aspects of dental services, including patient care, administrative functions, and staff management, run smoothly and that effective day-to-day procedures are implemented, maintained, and adhered to
- Coordinates with the Satellite Clinic Director, the Vice Chief of Dental Services, and the Dental Program Administrator to oversee all aspects of dental practice activities, including clinical procedures and staff competencies
- Provides guidance and support on personnel matters related to the dental staff, including staffing plans, recruitment, hiring, and disciplinary actions
- Supports the coordination of continuing professional education, in-service training, and departmental orientation programs
- Oversees and approve time and leave requests for all dental staff, ensuring adherence to management guidelines and Chickasaw Nation policies
- Oversees the management and approval of employee Individual Development Plans (IDPs) and Balanced Scorecard Bonus (BSB) initiatives
- Ensures the accurate and timely submission of evaluations and competencies for all dental staff, in accordance with management guidelines and Chickasaw Nation policies
- Manages the oversight and maintenance of dental equipment in partnership with the Dental Operations Support Manager, including end-of-life and procurement of large equipment and project life cycles of installation
- Manages the stock levels of supplies and instruments in partnership with the Dental Operations Support Manager
- Works in collaboration with the Dental Operations Support Manager to streamline instrument procurement and reprocessing workflows, ensure compliance with reprocessing requirements, and utilize Lean practices to enhance efficiency and reduce waste
- Maintains confidentiality, security, and integrity of data and information in accordance with HIPAA regulations
- Maintains files, logs, and records
- Ensures equipment and facilities effectively support the needs of patients and staff while maintaining safety and operational efficiency
- Implements and monitors management practices based on departmental Standard Operating Procedures that ensure equipment and facilities are used efficiently and effectively, contributing to a streamlined and productive operational environment
- Demonstrates a thorough understanding and ownership of departmental policies and procedures
- Fosters positive relationships with vendors and serve as the primary point of contact, facilitating communication between departments and properties
- Takes ownership to ensure that the dental department is consistently clean, organized, and fully operational daily, in accordance with Joint Commission and departmental standards
- Manages all personnel management workflows within the ERP in a timely, accurate, and efficient manner
- Promotes teamwork with all dental staff to foster a collaborative and cohesive work environment
- Coordinate with the lines of support on any clinic closures
- Collaborate with medical coders and the business office to ensure timely documentation completion, which is crucial for optimizing revenue and financial performance
- Coordinates with human resources and leadership to conduct interviews
- Ensures human resource-related issues are resolved promptly, per management guidelines and Chickasaw Nation policies
- Monitor and analyze Key Performance Indicators (KPIs) to offer suggestions for improvement
- Prepares reports as needed or requested
- Resolves patient complaints in partnership with Patient Relations
- Develops solutions to trends that negatively impact the patient experience to enhance overall service quality
- Ensures stewardship of resources by effectively managing and utilizing them to maximize value and sustainability
- Oversees in-house referrals to external dental or medical offices to ensure the overall quality of patient care. This includes ensuring that completed treatment plans are entered for the providers
- Partners with all Dental Operations Managers and CNDH Leadership for developing protocols, procedures, and guidelines specific to the area of operations
- Ensures all infection control, prevention, and Joint Commission requirements are strictly adhered to
- Participates in committees and meetings as assigned, contributing to continuous improvement and organizational effectiveness
- Collaborates with the Vice Chief of Dental Services and the Satellite Clinic Director to foster a successful triad leadership model that supports all dental staff
- Ensures employees and resources complete assigned training and development
- Maintains knowledge of and enforce all laws, rules, regulations, policies and SOPs for assigned area, e.g. MICS, TICS, hospital standards, health codes, food sanitation, accounting principles, etc.

- Advanced degrees such as a Master’s in Healthcare Administration (MHA) or Business Administration (MBA) is preferred
- Preferred: Graduation from an accredited school of dental assisting preferred but not required
