Job Purpose
The Support Services Administrative Assistant provides essential administrative support to the Facilities, Security, IT and HIM departments, ensuring compliance with organizational, state, and federal requirements. This role involves various tasks to maintain efficiency, accuracy, and accountability across department operations.
This role is integral to the success of the Support Services department, contributing to a safe and compliant environment that supports Bethany Childrens Health Centers mission of exceptional care and service. This is done by performing all tasks in alignment with Bethany Childrens Health Centers mission, vision, values, and standards, fostering a positive and compliant work environment.
Essential Duties and Responsibilities

Prepare and deliver reports and documents using diverse date sources to meet compliance standards for department, organization, state, and federal requisites

Work as liaison between customers requesting support for each area and the Support Service team creating work orders in the correct system.

Help create and manage staff schedules, including tracking and maintaining on-call schedules to ensure coverage and operational continuity

Review and approve invoices within Meditech, maintaining accurate records by cataloging invoices and regulatory inspections in applicable records management system

Assist staff with clerical staff, computer use, effective utilization of office equipment. Manage office supply inventory, place orders, ensure adequate stock of supplies.

Reconcile departmental credit cards, manage purchases, invoices, and receipts.

Other Duties as assigned.

Qualifications
Education:
High School graduate or GED
Experience:
Proficiency in office technology and systems, including Microsoft Suite.
Strong organizational skills with attention to detail and the ability to manage multiple tasks efficiently.
Excellent communication and collaboration skills for effective interaction with team members and customers.
Knowledge of facilities and security operations is preferred.
