The Choice is partnering with our higher education nonprofit client in the search for a Program Associate to support their Meetings, Conferences, and Educational Technology (MCET) department. This role is an excellent opportunity for candidates with strong administrative, organizational, and project management skills who are interested in event coordination and educational programming.
This position is hybrid, with three in-office days per week (Tuesday-Thursday). The schedule is 9 AM to 5 PM with a 1-hour unpaid lunch, totaling 35 hours per week. This role requires flexibility, as the associate will likely work overtime leading up to the annual session and during the conference weekend (March 8-9). Overtime is paid at time and a half.
This is a temporary opportunity that could be converted to a permanent role for the right fit. The pay for this role is $30/hr and if converted, the role will remain hourly.
Our Ideal Candidate Will Have:
- Bachelor’s degree or equivalent experience.
- Administrative and event/meeting coordination experience.
- Strong Microsoft Office skills (Word, Excel, PowerPoint, Outlook); experience with Smartsheet or the ability to learn new systems quickly is a plus.
- Excellent attention to detail, writing, and proofreading skills.
- Ability to manage multiple tasks in a fast-paced environment and collaborate with staff at all levels.
- Interest in learning new technologies and supporting both virtual and in-person events.
- Availability for occasional travel to support member events.
Key Responsibilities:
- Provide administrative support to the Chief of MCET and assist in planning meetings and conferences.
- Coordinate logistics for small meetings, including scheduling, contract negotiation, invoicing, and assembling materials.
- Assist with webinars, event logistics, registration, and abstract submission for the Annual Session & Exhibition and other conferences.
- Maintain department records, policies, and procedures.
- Process travel reimbursements, invoices, and budget tracking.
- Serve as the first point of contact for general meeting-related inquiries.
- Assist in preparing meeting materials, agendas, and reports.
Salary: $30/hr
