Job Description:
This role provides management and support for special projects undertaken by the Mayor’s Office to contribute to effective policy development. This role encompasses research, representation in meetings, content generation, and support for the Chief of Staff.
Examples of Duties:
- Manages, coordinates and administers special projects as assigned by the Chief of Staff.
- Assists in the development and implementation of citywide goals, objectives, policies, priorities and procedures.
- Establishes the format, project deliverables, direction, required tasks and milestones.
- Ensures projects, action items, and other work are completed on time and achieve established objectives.
- Establish measures of success, acceptance criteria, and methods to track, control, and report status.
- Manages overall project expenditures and schedule.
- Develops and maintains project documentation.
- Generates project related content for multiple audiences, including preparing and delivering presentations.
- Creates a variety of reports summarizing project data to inform policy making.
- Elicits cooperation and collaboration from others and creatively solves problems and disputes.
- Makes informed recommendations to increase operational capacity.
- Serves as a liaison with employees, City departments, and external organizations.
- Attends meetings on behalf of the Chief of Staff and provides follow-up as needed.
- Collaborates with Chief of Staff and other stakeholder to support and projects and activities.
- Utilizes time management, organizational skills and attention to detail.
- Manages multiple tasks under tight deadlines.
- Provides comprehensive support to the Chief of Staff and assists with various administrative duties.
- Performs other duties as assigned.
Basic Qualifications:
- Bachelor’s degree (BA/BS) or equivalent; and eight years of related experience; or equivalent combination of education and experience.
- Valid state-issued driver’s license.
- To perform this job successfully, an individual should have a thorough knowledge of Microsoft Windows, Outlook, Excel and Word or similar software.
Other Necessary Requirements:
- In the event of major storms or other emergency situations, this position may be subject to 24-hour shifts or any other emergency schedule that is necessary to meet the City's needs.
- May require evenings, weekends, and holiday as scheduled.
