Job Description:
This role performs administrative duties including data entry, processing work orders, and customer service.
Examples of Duties:
- Enters and maintains information in our work order system.
- Maintains computerized maintenance records and physical files.
- Functions as primary contact for emergency and non-emergency maintenance requests, including initiating, processing, updating and closing work orders and related invoices.
- Acts as liaison with user departments regarding service problems, recall notices, scheduling and informational requests.
- Assists with insurance and accident paperwork and claims.
- Generates and processes fleet maintenance shop work orders; enters and/or verifies job notes; changes work order status; enters job open and finished times; tracks and enters vehicle downtime and job delays; enters employee labor times into database and cross-checks against work orders.
- Under direction, update and verify vehicle, employee, and departmental contact information in fleet management database; and generate reports as necessary.
- Assists with shop office administration; may occasionally assist the maintenance operation with vehicle shuttling and parts pick-up duties.
- Performs other duties as assigned.
Basic Qualifications:
- High school diploma or general education degree (GED); and two years of related experience and/or training; or equivalent combination of education and experience.
- Valid South Carolina Driver’s License.
- Experience with reporting and tracking using Excel and work order systems.
Preferred Qualifications:
- Knowledge of heavy-duty mobile equipment.
Other Necessary Requirements:
- May require evenings, weekends, and holidays as scheduled.
- In the event of major storms or other emergency situations, this position may be subject to 24-hour shifts or any other emergency schedule that is necessary to meet the City’s needs.
