A Purchasing Assistant job is available with the City of Fort Worth Financial Management Services Department, Purchasing Division. You will be responsible for providing customer service support to internal and external customers, general administrative and clerical duties, and assisting the Purchasing staff in the division.
Minimum Qualifications:
- Associate’s degree from an accredited college with major course work in Business Management, Public Administration, Business Administration or related field
- Three years of clerical and administrative experience
Preferred Qualifications:
- Experience with City Purchasing Policy and Procedures
- Experience with pertinent Federal, State, and local purchasing laws, codes, and regulations
- PeopleSoft purchasing systems experience
- Familiar with Public Information Act software GovQA and experience with FOIA rules and regulations
- Microsoft Office computer skills
The Purchasing Assistant job responsibilities include:
- Complete PeopleSoft Purchasing forms for various purchasing needs including but not limited to creating new contracts, renewing contracts, amending contracts, and change orders
- Read and understand contract agreements such as term dates, compensation amounts, terms and conditions, and M&C approval
- Tracks and monitors contract term dates and renewal options for bids; Communicate with suppliers regarding price increase requests and required documentation needed to complete contract renewals
- Researching and responding to Public Information Requests adhering to time sensitive deadlines
- Assist department end users with PeopleSoft purchasing, navigating the system, troubleshooting sourcing errors, researching available contracts, and spending authority that is available for use
- Researching and ensuring bill payments are processed efficiently and timely
- Serve as backup to the Administrative Assistant for front desk/receptionist coverage
- Performs other related duties as assigned
