Position Overview
John Jay College’s One-Stop: Jay Express Services is the College community’s “one-stop” source to access essential, reliable, up-to-date information and perform integrated, multi-faceted transactions related to student enrollment, registration, financial aid, academic records, accounts, and billing functions. With services designed to simplify and improve the user experience, and through providing a professional, coordinated approach to doing business, enhanced by technology and a welcoming “can-do” spirit, Jay Express Services fosters a culture that supports and advances student success.
Reporting to the Assistant Director of the College’s One Stop: Jay Express Services, and serving as key member of the department’s Front Counter operations, this position will have responsibility for providing effective and efficient direct support and service to all students who visit One Stop: Jay Express Services, paying particularly close attention to providing the best level of customer service possible with each interaction. Additionally, on an as needed basis, this position will also be responsible for providing back-up support for functions associated with servicing the department’s Call Center operations.

Responsibilities
In addition to the duties as outlined above, additional duties andresponsibilities associated with this position include, but are not limited to:
- Disseminating accurate and timely information regarding all John Jay College and CUNY policies and procedures; building information technology skills in order to enhance work performance and service provision to students.
- Engaging in professional development activities and staying abreast of existing and changing institutional practices, policies and procedures related to admissions requirements, academic program offerings, financial aid, course changes, academic calendar (important dates/deadlines), tuition and fees schedules, payment and refund policies, college-wide initiatives, state and federal education mandates, and other student-related information.
- Maintaining theOne Stop: Jay Express Services website and all its associated webpages, including the JStop site, to ensure all are regularly updated.
- Assisting in the effort to regularly update the College’s Readmission Application and process Readmission Applications received above 2.0/3.0 including assisting with the placement of advisement holds and credit limits for students who have a GPA below a 2.0/3.0.
- Assisting in the process of updating and processing of Major and Minor Applications as well as other student forms; responding to student emails and messages regarding such as required.
- Managing work-study and/or other part-time staff members as needed; approving time and leave requests, managing weekly schedules, and conducting performance reviews as necessary.
- Collecting, reviewing, and analyzing student service center data and making recommendations to improve productivity and efficiency.
- Assisting in statistical and research activities; collecting, compiling, and coding data for analysis and running related reports/queries.
- Assisting withcompiling data for reports and for use in measuring department’s assessment activities and/or meeting its key performance indicators related to number of in-person appointments, number of calls received, wait times, Zoom session participation, etc.
- Facilitating the development and execution of training materials and workshops.
- Training staff on College and Enrollment Management functions, policies and procedures, including but not limited to Admissions, Bursar, Financial Aid, Registrar, Student Conduct (Dean of Students), Testing & Evaluation, etc.].
- Representing One Stop: Jay Express Services at meetings and by participating in College-wide activities and committees in order to facilitate cross departmental communication and take advantage of and advance training initiatives; serving on CUNY and campus-wide committees, as identified and assigned.
- Ensuringqualitycustomerserviceisprovided to all students who present themselves either in person on the phone; professionally troubleshooting student inquiries and escalating as needed.
- Playing their part in promoting a positive work culture and maintaining a welcoming “can-do” spirit among the front counter team, which is one of the most student-facing areas at the College.
- Performing other duties and special assignments/projects as assigned.
Bachelor's Degree required.
Preferred Qualifications
- Bachelor'sdegreeand1–2 yearsof relatedexperience required, includingknowledge of Registrar and Financial Aid functions, federal and state education-related rules and regulations, and use of CUNYFirst (Peoplesoft).
- Previous experience working within a One-Stop setting.
- Ability to work evenings and weekends on a limited basis if/as needed.
- Ability to effectively work independently and/or as part of a team.
- Ability to interact with a diverse faculty, staff, and student population while professionally representing the College and One Stop: Jay Express Services to internal and external constituents.
- Possesses excellent interpersonal, organizational/time management, customer service, communication, and team-building skills.
- Practices proactive problem solving and can pay close attention to detail.
Supports student enrollment activities and processing.
- Provides direct student services and works collaboratively with other units to support registration, payment, and related activities
- Conducts workshops on enrollment management services and processes
- Counsels students, staff and faculty on academic registration, admissions, testing, and related processing
- Manages student information databases and resolves issues with student records and transactions
- Ensures compliance with college, Federal, and New York State regulations and policies
- Creates and updates content for web pages, bulletins, and other media to ensure effective communications to students and campus community
- May supervise clerical and/or part-time staff and coordinate work schedules
- Performs related duties as assigned.
