Scope:
Manage daily operation of the Equestrian Center office including record-keeping, while maintaining established quality and service standards for members.
Primary Responsibilities:
- Provide descriptions of services, facility features and hours of operation.
- Supervise front desk part-time receptionists, including scheduling lessons in the schedule book when covering the front desk.
- Responsible for all Equestrian billing, as set forth by Director of Equestrian, making sure that daily paperwork and charges are correct and sent to Accounting.
- Complete member billing for boarding, farrier, supplements and horse care services, and keep spreadsheets for charges current.
- Assist in the scheduling and coordination of routine and emergency veterinary and farrier visits.
- Assist in the ordering of operating supplies for the office and barn.
- Process all invoices and forward to Accounting.
- Complete expense reports and employee reimbursement.
- Complete Credit Memos for Equestrian account.
- Payroll for all Equestrian Center employees; keep track of ADP hours, lesson compensation and trail ride gratuities.
- Complete payroll bi-weekly, including ADP time sheet approvals for non-exempt and spreadsheet for exempt lesson compensation.
- With HR and the Director of Equestrian, handle any questions or concerns regarding payroll, procedures, and policies with Equestrian Center staff.
- Keep "checkbook", tracking expenditures by GL code.
- Answer member queries about billing, and make adjustments as necessary.
- Assist Director of Equestrian in developing annual budget.
- Collect and sort mail.
- Help promote all Equestrian programs including lessons, trail rides, and off-site trail rides and clinics.
- Assist in organizing and helping facilitate the summer kids camps
- Assist with the promotions of Las Campanas Equestrian Center, including but not limited to appearances at special events, photo shoots, lay-outs, and marketing materials.
- Be able to give directions to emergency personnel regarding the location of the facility.
- Immediately convey to the Director of Equestrian any concerns relating to Equestrian Center, staff or members.
- Coordinate registration for Cowpoke Camp. Assist with hiring of Cowpoke Camp counselors.
- Assist with the development of the Club annual calendar.
- Generate various reports upon request.
- Assist with special event preparation.
- Assist with writing letters, contracts, lists, etc.
- Provide excellent customer service, welcoming and giving information about Equestrian Center, including giving tours as needed.
- Help all members feel at home and welcomed at the Equestrian Center.
- Immediately handle member's questions and concerns professionally and courteously.
- Ensure that professional standards are adhered to.
- Ensure quality standards for public relations are maintained with members, guests and the local community.
Note: Other duties as assigned by supervisor or management.

Qualifications:
Education/Experience:
- High School diploma or equivalent required, some college preferred.
- Three to five years administrative experience preferred.
- Some experience with horses preferred.

- Must possess excellent oral, written and interpersonal skills and be highly detail-oriented.
- Position requires a highly professional demeanor with members, guests and staff, adaptability, flexibility, and adherence to a strict level of confidentiality.
- Ability to read, write, speak, and understand English.
- Must be customer oriented and interact with current and prospective members, guests and staff on all levels in a professional, positive, and friendly manner.
- Ability to work in a fast-paced, deadline driven and demanding environment.
- Proficient in Microsoft Word, Excel, email and Internet.
