The Contract Specialist is responsible for executing a diverse range of tasks within the scope of researching, organizing, tracking, and maintaining contracts and other formally requested correspondence. Provide assistance with the new proposals for the Care Coordination, Professional Clinical Staffing, and Quality Improvement business units. This position requires exceptional contract management skills combined with the ability to multi-task on various pursuits.

Job Objectives and Responsibilities:

Contract Research

§ Assist in searching for new business opportunities.

§ Submit Freedom of Information Act (FOIA) and/or public record requests for competitors’ contracts and past/current projects.

§ Review and analyze records received from FOIA requests to create summaries/reports for various business units.

§ Oversee and participate in searching for new business opportunities.

§ Conduct research on competitors on a regular basis via websites, Google Alerts, et al.

§ Manage, track, and update spreadsheet for competitors’ contracts.

Contract Responsibilities

§ Responsible for the implementation and renewal of contracts across all business units to include:

­ Act as the key point-of-contact for all clients and information related to specified accounts.

­ Ensure contracts are signed, implemented, and retained.

­ Confirm contract language is accurate with terms of agreement.

­ Completion of all required forms for each contract.

­ Verify compliance with terms (i.e., insurance) and identify changes requiring resolution at contract renewal.

­ Create, distribute, and track contract compliance matrix.

­ Support the various business units as it relates to drafting, amending, and negotiating contracts.

­ Maintain and organize contracts in Salesforce.

­ Uphold the highest level of confidentiality and discretion in handling sensitive material.

§ Maintain compliance with Columbus contracts across the three business units.

§ Collaborate with subject matter experts for contract content.

§ Collaborate with accounting and finance to confirm/finalize pricing and potential rate increases where applicable.

§ Review contracts to ensure language is consistent and accurate with terms of agreement.

§ Comparison of previous contracts with renewed contracts and note items for discussion and review with team.

§ Draft agreements and amendments.

§ Manage and develop relationships with all subcontractors and subcontractor agreements (i.e., MBE/WBE/VBE).

§ Track and update Columbus’ contract information in Salesforce for generating reports.

§ Track automated Salesforce reminders for contracts that are up for renewal and begin outreach to clients for renewal.

§ Research codes and regulations referenced in contracts to ensure Columbus’ compliance.

§ Ensure client engagement for contract negotiations via regular follow up.

§ Manage all Columbus leases and agreements (i.e., printers, postage meters, Regus offices, consultant agreements, BAAs, NDAs, etc.).

Additional Responsibilities (as needed)

§ Assist with reviews of various websites for bids/business opportunities (i.e., BidPrime, state pages, and daily list).

§ Assist with preparation of proposal responses to RFPs and/or new business in a detailed, thorough, and timely manner.

§ Coordinate with Proposal Specialist for research on subcontractors and subcontractor agreements.

§ Assist with Medicaid application process for States where Columbus does or would like to engage in business.

§ Complete projects and special assignments to established objectives.

§ Work collaboratively with all team members including senior leadership to deliver excellent work with accuracy and integrity.

§ Conduct research on assigned projects.

§ Demonstrate proficiency in writing, proofreading, and editing materials.

§ Other duties as assigned.

Work Environment and Physical Demands:

While performing the duties of this job, the employee is regularly required to speak and listen. The employee is regularly required to stand, walk, sit, and use hands to handle devices or use writing tools. The employee frequently lifts and moves up to 10 pounds.

Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. Occasional evening and weekend work may be required as job duties demand.

Travel

Potential once a week in Blue Bell, PA. Other travel requirements are minimal.

Required Experience

One to three years of experience in Contract Management.One to three years of Paralegal experience.Interpersonal skills sufficient to provide effective support for Team personnel.High level of initiative, self-direction and accountability for actions required.Proficient in updating information and creating reports in Salesforce.

Education

Certified Paralegal required.Associates Degree required, Bachelor's Degree preferred in Paralegal, Business, Management, or Communications

Advanced working knowledge of Microsoft Office365 (i.e., Word, PowerPoint, Excel, and Outlook) and Adobe Acrobat Pro.Knowledge of planning principles report preparation.Skilled in interpreting policies and procedures.Skilled in analyzing situations, evaluating information, and recommending course of action.Skilled in maintaining effective working relationships with fellow employees, outside agencies and state personnel.Ability to write reports and correspondence.Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.Ability to define problems and collect data, establish facts, and draw valid conclusions.

Salary : $65,000 - $70,000
