The Family Child Care Enrollment Coordinator at The Community Group plays a critical role in managing Voucher, Income Eligible (I/E), and DCF slots to ensure full enrollment, working with approximately 80 providers and around 400 children enrolled in the program. This position involves recruiting families, assisting with the child care enrollment process, and managing timely start terminations. The coordinator also serves as a point of contact with the Department of Children and Families (DCF), processes provider changes, and tracks child absences. Additionally, the coordinator provides administrative support, phone coverage, and assists with transportation coordination. Strong customer service skills, organizational expertise, attention to detail, and the ability to manage multiple tasks in a fast-paced environment are essential in this role.
Responsibilities (include but not limited to):
Voucher, Income Eligible (I/E), and DCF Slot Management:
- Oversee and manage all Voucher, I/E, and DCF slots to ensure full enrollment, working closely with approximately 80 providers and 400 enrolled children.
- Conduct recruitment efforts to meet enrollment goals and ensure a steady flow of eligible families.
- Ensure the timely completion of intakes, reassessments, vouchers, and terminations.
- Coordinate and schedule appointments, processing provider changes as needed.
- Maintain and update the Slot Enrollment log regularly.
- Send completed intake and reassessment paperwork to FCC Educators and bus monitors, as needed.
- Track and monitor absences for enrolled children and keep accurate records.
- Maintain consistent communication with both enrolled families and prospective families to ensure a smooth enrollment process.
- Communicate regularly with the Department of Children and Families (DCF) to stay updated on relevant policies and procedures.
- Keep the Slot Management Tracker up-to-date, ensuring timely and accurate updates.
Administrative Support:
- Provide phone coverage and assist with other office tasks as needed.
- Support general administrative duties within the Family Child Care Department.
Transportation Support:
- Collaborate with the Transportation Department to start, end, or make changes to transportation services as required.
- Assist with end-of-day transportation coverage, reaching out to parents or emergency contacts when necessary.
Meetings and Training
- Attend all relevant training sessions and meetings related to enrollment and other job-related tasks.
Qualifications
- High school diploma or equivalent required.
- Associate’s degree or higher in Early Childhood Education, Social Services, Business Administration, or related field preferred.
- Minimum of 2 years of experience in child care, social services, or administrative roles, with a focus on customer service and enrollment processes.
- Experience working in a fast-paced environment and managing multiple tasks simultaneously.
- Experience working with diverse populations and knowledge of child care subsidy programs (e.g., Voucher, Income Eligible, DCF) is highly desirable.
- Strong organizational skills with the ability to manage and prioritize a large volume of tasks.
- Excellent communication skills, both verbal and written, with a strong customer service orientation.
