Key Responsibilities
- Schedule and coordinate service calls, ensuring efficient routing of technicians.
- Maintain and update customer records in Service Titan CRM software.
- Communicate with customers regarding service updates, estimates, and follow-ups.
- Handle incoming customer inquiries via phone and email with professionalism and efficiency.
- Maintain residential and commercial maintenance agreements. Including scheduling, billing, ordering materials and renewals.Assist with processing customer invoices and payments.
- Support customer retention efforts through follow-up calls and marketing initiatives.
- Conduct quality assurance calls to ensure customer satisfaction.
- Work closely with technicians, service managers, and other office staff to ensure smooth operations.
- Assist with company marketing efforts, including social media content and local event participation.
- Track advertising expenses and generate marketing reports to ensure cost-effectiveness.
- Work collaboratively with Warehouse Manager and CSR to order materials and keep up to date on inventory.
- Provide administrative support, including maintaining records of parts and job materials.
- Excellent verbal and written communication skills.
- Strong attention to detail and ability to multitask.
- Well-organized with the ability to work independently.
- Advanced computer skills, including experience with CRM software (Service Titan preferred).
- Problem-solving skills and ability to train and motivate colleagues.
- Minimum of 2 years of customer service or project management experience.
- High school diploma or GED.
- Experience in HVAC customer service or dispatching.
- Familiarity with the Chicagoland area.
- Energetic and personable demeanor.
