Office Manager for Premier Concrete Flatwork Construction BusinessJob Title : Office ManagerCompany Name : Creative Concrete LLCSalary : $27-$37 per hourFull Job DescriptionCreative Concrete seeks a highly motivated Office Manager for its market-leading concrete flatwork and place & finish construction business. Successful across 15 years of operation, this company has grown from a small decorative concrete business to a large-scale flatwork operation. This employee will support the owner, crew, and virtual admin team to maintain organization and facilitate execution of team objectives.Who we are : Since its founding in 2004, Creative Concrete LLC has built a strong reputation across central and western North Dakota for delivering premier concrete solutions. From custom stamp and stain design work to expansive industrial pours, Creative Concrete's diverse portfolio reflects its dedication to excellence in every project.Tasks : -Maintain ownership over and enforce established operational processes-Drive owner's to-do list management and maintain internal organization-Perform general bookkeeping activities to support company accountant-Provide maintenance of meeting rooms and office spaces as needed-Collaborate with team members to keep all staff on the same page and ensure all relevant information reaches the necessary parties-Run employee onboarding and payroll processes-Check and organize incoming physical mail-Customer-facing communication or communications rerouting when necessary-Complete relevant errands including but not limited to : -Post office runs-Customer document drop-off-Vehicle transport-Materials / supply pickups-Perform miscellaneous tasks as assigned to support operational needs-Delegate administrative tasks to virtual team when necessaryWider Responsibilities : -Providing dynamic assistance within the company to all employees, jobs, customers, and management-Performing any tasks as needed according to responsibility matrix as updated by management-Office Operations : -Overseeing clerical tasks, such as sorting and sending mail-Ensuring all office security protocols set by management are adhered to-Ensuring office runs smoothly and tending to any tasks requested by management-Maintaining the office and common area by keeping them clean and organized-Running errands including but not limited to store runs, getting lunch, and transporting tools to job sites-Where approved by management, outsourcing services to automate and streamline operations (, periodic cleaning, etc.)-Keeping up on yearly tasks to keep the business running (, Annual Reporting, Contractor License Renewal, etc.)-Digital Business Operations : -Creating, maintaining, and entering information into Google Drive, ensuring digital versions of physical artifacts exist where possible-Scheduling meetings with relevant invitees proactively to push completion of outstanding tasks-Entering all bills / invoices into QuickBooks or relevant authorized system-Keeping an inventory of office supplies and ordering new materials as needed-Ensuring all digital / account security protocols set by management are adhered to-Human Resources : -Performing human resources functions and supporting joiners / movers / leavers activity and paperwork-Internal and External Communications : -Answering business phone calls, returning messages, and logging calls as needed-Welcoming visitors into the office-Communicating or enforcing company standards equally across all personnel (employees, management)-Communicating with customers or third parties to support operations, including sales or check collections-Coordinating with external parties to gather information for paperwork relating to projects-Sales Management : -Inputting / updating all leads or other relevant contacts into CRM-Creating proposals with management support and sending them to leads and others as needed-Job Scheduling, Logistics, and Reservations : -Ensuring Daily Tracker and time tracking facilities are kept up to date on a daily basis with scheduling-Ensuring time logs are accurate and following up with management and employees to resolve discrepancies-Organizing travel, accommodation, and reservation needs as required by management or employees-Accounting and Finance : -Ensuring all bookkeeping is kept up to date in cooperation with management and contracted experts-Maintaining bank account and transferring funds to relevant parties following management instructions-Sending or processing invoices to ensure company cash flow is sustainable under management direction-Projecting cash flows and presenting them to the team-Preparing appropriate documents for taxes-Operational Workflow Integration : -Ensuring Daily Tracker, Call Log, Buildertrend, TSheets, QuickBooks, Asana, and other artifacts are synchronized on a daily basis-Requesting management support to unblock any workflow issuesSkill Requirements : -Very strong interpersonal communication skills-Strong office administration and construction job site activity knowledge-Word processing, spreadsheet drafting, and bookkeeping skills-Familiarity with Google Hangouts, Google Docs, Sheets, etc., or other virtual collaboration tools-High school diploma or associate's degree-Proficient in Google, Excel, Meet, Zoom, QuickBooks, etc.-1-3 years experience performing office, administrative, or general operational functions to support management-Ability to write clearly and help with word processing when necessary-Warm personality with strong written and verbal communication skills-Strong spelling, grammar, and punctuation-Exceptional organizational skills, ability to prioritize, and comfortable working independently-Capable of handling sensitive information and ensuring security protocols set by management are adhered to-Capable of driving with a valid driver's license-Capable of lifting up to 50 lbs.Job Expectations : -Meet onboarding goals set by the owner and the Virtual Administration team-Perform tasks based on managed expectations-Take initiative to understand relevant company processes both for the office and job
