Key Responsibilities
- Assist in scheduling and coordinating HVAC and Sub Metering service appointments and maintenance activities.
- Maintain and update service records daily, review and assign work orders daily.
- Build and manage job schedules for timely execution, build and send submittals for projects, create job schedules and updates.
- Support the operations team in tracking and managing equipment and supplies.
- Communicate with clients to confirm appointments, provide updates, and address inquiries.
- Assist in preparing reports and documentation for management review and client submission.
- Ensure compliance with safety regulations and company policies. Document and maintain proof of compliance and file/folder structure and access.
- Provide administrative support to the operations team as needed.
- Gentle persistence, ability to get it done, communicate with passion and follow up with relentless tenacity. You should feel satisfied when you achieve your task no matter what the obstacles.
- Mandatory four-year college degree in Business and/or Communications and/or Operations; additional technical training or certification in HVAC is a plus.
- Previous experience in an administrative or operations support role in the HVAC and Sub Metering industry.
- Superior organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Tools we Use, Microsoft Word, Excel, Outlook, Teams, Asana, HubSpot and Work Order Software, ServiceBox, QuickBooks.
- Be the Glue - ability to work independently and as part of a team and be the glue for the team.
- Meticulous attention to detail and a resolution for accuracy.
