In this leadership support role, you'll act as the quarterback of our project execution-owning everything from Procore and SharePoint to opportunity tracking and project scheduling.

Key Responsibilities
- Business Development & Opportunity Tracking
- Maintain and update business development trackers to monitor wins, losses, and KPIs.
- Support bid coordination efforts, ensuring proposals and tenders are submitted on time.
- Provide insights and data reporting to inform leadership strategy.
- Procore Administration & Project Tracking
- Act as ClearBlue's Procore expert-setting up projects, managing data, and ensuring system accuracy.
- Build custom dashboards and workflows to enhance visibility and tracking.
- Monitor KPIs, budgets, RFIs, submittals, change orders, and deadlines with real-time reporting.
- Scheduling & Calendar Management
- Oversee scheduling of tenders, deliverables, and construction milestones.
- Maintain the team calendar and ensure efficient resource allocation.
- Prevent scheduling conflicts and follow up on key tasks.
- Document & SharePoint Management
- Organize, manage, and maintain SharePoint folders and documentation for all projects.
- Enforce document control standards-ensuring version accuracy, compliance, and accessibility.
- Track contract approvals and revision histories across all active projects.
- Process Automation & Efficiency
- Automate reminders, follow-ups, and approvals to streamline workflows.
- Continuously improve project tracking and reporting processes.
- Integrate Procore with Microsoft 365 tools to maximize operational flow.
- Team Communication & Support
- Train and support team members in using Procore and SharePoint effectively.
- Onboard new hires and ensure team-wide adherence to workflows and checklists.
- Prepare regular reports for leadership on project progress, risks, and upcoming deadlines.
- 3 years in Procore Administration, Construction Coordination, or Project Controls.
- Advanced knowledge of Procore, especially in workflow automation, dashboards, and reporting.
- Hands-on experience with SharePoint or other document control platforms.
- Strong understanding of construction workflows-RFIs, submittals, change orders, scheduling.
- Experience with bid tracking and supporting business development.
- Proficiency in Microsoft 365, especially Excel, SharePoint, and Teams.
- Procore Certification (preferred, not required).
