In this role you will be responsible for handling various administrative, clerical, and supportive functions within our corporate headquarters. This role is vital in maintaining day to day tasks while supporting various departments as needed.
This is a Monday-Friday onsite position.

Essential Functions
- Serve as the first point of contact at the front desk and greet guests, answer, and direct phone calls.
- Manage The Boardroom calendar and stock fridge and coffee as needed.
- Order meals for meetings, training classes, and other corporate functions and clean up after
- Order necessary items for training classes including notebooks, pens, drinks, snacks, and anything else needed. Stock items in assigned place.
- Order and stock janitorial and breakroom supplies, correspond with cleaning crew regarding any requests, etc.
- Clean out corporate Fridge regularly.
- Make and manage hotel reservations and room blocks for meetings, training classes, and board meetings.
- Manage confirmation emails to training attendees and their supervisors, confirm with hotel.
- Contact and manage vendors for building maintenance, plumbers, vending machine, UPS, etc.
- Collect and distribute mail from branch to corporate departments, scan any mail for remote employees.
- Assist various department with administrative projects.
- Handle Employee hospitality and recognition including ordering flowers, welcome gifts, baby gifts, SERVE Awards, etc.
- Manage employee birthday and anniversary lists with card vendor.
- Assist Corporate Event Planner and Fun Committee with employee events.
- Make and update nameplates for new and existing employees.
- Handle shipping for all departments outside of IT.
- Submit HR Department expense report.
- Alert Management of security risks.
- Keep master key to all corporate offices to be used as needed.
- Other relative duties as assigned
- Current and valid US driver’s license
- Ability to lift up to 50 lbs.
- At least 1-2 years of experience in similar position
- Time Management, able to juggle multiple projects and pivot as needed.
- Customer Service, friendly and professional with all vendors, and able to represent company professionally.
- Technical proficiency with common office tools, including printers, copiers, and software such as Teams and Outlook
