Seeking Local Property Manager for Beautiful Estate on MDI, Maine
The Property Manager is for management of the Principal’s properties in Maine, including administration, supervision of household employees and contract labor, as well as establishing preventive maintenance procedures to preserve the properties pristine condition and value.
Scope:
Direct management of all activities and staff at a property at Long Pond, Mt. Desert Island, Maine. The property consists of several residential homes, with numerous outbuildings, a tennis court, gardens, waterfront, wildlife ponds, docks, boats, vehicles, and 20 acres of real estate.
Cooperative management, advisement, and consultation with the management staff of other Principal properties in Pretty Marsh and Seal Cove Maine. Properties consist of multiple residential homes, outbuildings, gardens, greenhouse, waterfront, docks, boats, vehicles, farm equipment, and 300 acres of real estate.
Key Responsibilities:
- Schedule and assign work to the staff to ensure the principal’s goals are met strategically and deliberately.

Daily supervision and direction of the staff to ensure the principal’s overall management plan and requests.
- Coordinate and assist with Principal with functions and events.
- Provide transportation and driving services as needed by the family.
- Align with the Boat captain on the Principal’s needs.
- Develop contingency plans ensuring the ability to respond to ad hoc requests and needs.
- Be available 24/7 and respond to all emergency calls from security or the Principal.

Anticipate current and future needs of the properties and allocate resources and schedules accordingly.
- Coordinate individual projects and tasks as requested.
- Develop quarterly /seasonal project plan with goals and resources allocated.

Supervise all aspects of scheduling vendors as they perform routine maintenance, emergency repairs and other necessary services.
- Manage access as needed.
- Be actively involved with locating and hiring vendors.
- Review and approve statements, estimates/proposals, and invoices from contractors for services to ensure accuracy.
- Complete weekly reports for all properties, providing ground workers and vendor related information, hours spent, billable equipment and service performed.
- Manage daily telephone calls and emails for property related issues.

Schedule and review completed “preventive maintenance program reports” monthly.
- Including all vehicles, boats, boating equipment, power tools, land, and farm equipment.
- Regular inspections to identify issues like fire hazards, water damage, or structural problems.
- Including HVAC, plumbing, electrical, and security systems.

Establish, communicate, and implement operations-related policies, practices, standards, and security measures to ensure effective, consistent support and execution.
- Identifying and mitigating risks to ensure smooth operations and the safety of the property and staff.
- Manage all aspects of compliance training for staff as needed.
- Lead through example to promote a growth and learning based environment for all household staff. Conduct quarterly check-ins and yearly performance reviews.

Oversee working greenhouse operations, management of extensive gardens, including both vegetable and flowers.
- Managing and implementing eco-friendly practices in property management. The properties mature landscapes are native-oriented and meticulously maintained. Seasonal maintenance routines and a keen eye for detail are imperative.
- Forest management with knowledge regarding New England forests and trees species. Tree planting, transplanting and proper species recommendations for changing climates and pests. IPM experience and pesticide application experience as plus.
- Knowledge of fruit producing trees, shrubs, ground covers and vines. Cool-season turf management and native ground covers.
- Trail maintenance and construction experience a plus. The properties contain several miles of wetland, oceanside and forested trails, with a need for future expansion.
Qualifications, Education, Experience, Skills, and Knowledge:
- Bachelor's degree in fields like hospitality management, business administration, or construction management preferred.
- Certifications, such as the Certified Estate Manager (CEM), can enhance qualifications.
- Minimum of 10 years of leadership experience in property management or a related industry.
- Strong financial acumen and experience with budget management and financial reporting.
- Proficient with Microsoft Office Suite and related property management software.
- Fundamental building systems and residential experience required.
- Proven, accomplished leadership and management skills.
- Strong work ethic and communication skills.
- Strong grounds and landscaping knowledge.
- Equipment Safety, OSHA 10, CPR/First Aid training preferred.
- Ability to maintain luxury standards in every aspect of the estate's operation.
- Must possess ability to be discreet and honor the privacy of the Family.
