Position Summary
The Manager – Planning & Logistics – School of Graduate Studies plays a pivotal role in driving operational excellence and facilitating the strategic objectives of the Culinary Institute of America’s (“CIA’s”) graduate school. This position manages day-to-day operations for the graduate school, as well as the organization of up to fifteen (15) residencies within the School of Graduate Studies. The Manager is responsible for implementing process improvements, streamlining logistical functions, and assisting in the enhancement of the graduate studies program, including new programs, courses and certificates.

The Manager – Planning & Logistics – School of Graduate Studies plays a pivotal role in driving operational excellence and facilitating the strategic objectives of the Culinary Institute of America’s (“CIA’s”) graduate school. This position manages day-to-day operations for the graduate school, as well as the organization of up to fifteen (15) residencies within the School of Graduate Studies. The Manager is responsible for implementing process improvements, streamlining logistical functions, and assisting in the enhancement of the graduate studies program, including new programs, courses and certificates.
Essential Responsibilities
- Provide coordination and day to day operations management for graduate school programs.
- Create, document, and manage comprehensive portfolio of Standard Operating Procedures (SOPs) with ongoing revisions and updates to ensure consistent process improvements and in order to maximize team efficiency and effectiveness.
- Perform budget tracking and financial reporting, identify issues and make recommendations to the Senior Director for ways of improving budget spend.
- Ensure compliance with university policies by assisting in documentation and reporting.
- Collaborate with Admissions, Registrar, and Marketing departments to manage enrollment processes, student records management, academic program logistics, and student engagement communications.
- Oversee data collection, analysis, and reporting through data management systems to streamline operations and make recommendations for program execution improvements.
- Manage systems and assist in planning and executing events related to graduate education, including in-person residencies, for graduate students, staff and faculty.
- Oversee all residency elements including development and implementation of scheduling, and coordinate with various internal support departments to create high quality, seamless programs.
- Coordinate program production and audio-visual coordination and plans.
- Coordinate residency logistics, rentals, shuttles, equipment, course materials, hotel rooms, as applicable for best student experience within budget parameters.
- Create, document, and manage comprehensive portfolio of Standard Operating Procedures (SOPs) with ongoing revisions and updates to ensure consistent process improvements and in order to maximize team efficiency and effectiveness.
- Ensure compliance with university policies by assisting in documentation and reporting.
- Collaborate with Admissions, Registrar, and Marketing departments to manage enrollment processes, student records management, academic program logistics, and student engagement communications.
- Oversee data collection, analysis, and reporting through data management systems to streamline operations and make recommendations for program execution improvements.
- Oversee and manage administrative operations, including the scheduling of faculty within the School of Graduate Studies.
- Oversee and manage special projects as they arise.
- Any and all other duties as assigned.
REQUIRED QUALIFICATIONS
- Bachelor’s degree.
- Minimum of three (3) years of experience in administrative project management, or operational management.
- Previous work experience in higher education.
- Experience in event coordination and administrative project support.
- Familiarity with learning management systems and academic technologies.
- Strong teamwork and interpersonal skills; ability to be adaptable, dependable and handle multiple priorities simultaneously.
- Demonstrated ability to show a high level of service responsiveness to customers.
- Excellent written, verbal communication, and presentation skills required. Must have demonstrated ability in organizational, time management, problem solving and interpersonal skills.
- Must have a proven, consistent track record showing the ability to work with all levels within an organization.
- Basic budgeting and financial tracking experience.
- Experience with student information systems, data management, and reporting tools.
- Proficiency in Microsoft Office Suite.
- Ability to use sound judgment and discretion in handling sensitive issues with confidentiality and discretion.
- Must display a high level of energy and self-motivation.
- Must be available to work nights and weekends as required due to business needs.
- Regular work requires the use of a computer, sometimes in excess of eight (8) hours per day.
Salary : $65,000 - $70,000
