The Cutting Edge, a premier landscaping and land clearing company with a team of certified arborists, is seeking a detail-oriented and proactive Office Manager to oversee daily operations and provide essential administrative and financial support. This role requires a strong to manage bookkeeping, invoicing, and financial reporting, alongside excellent organizational skills to keep our office running smoothly. The ideal candidate will be a key team player, ensuring seamless coordination between our field crews, clients, and management while maintaining the highest standards of professionalism and efficiency.
Key Responsibilities:
- Manage day-to-day office operations, including scheduling, correspondence, and supply inventory.
- Oversee accounts payable and receivable, including preparing invoices, processing payments, and reconciling bank statements.
- Maintain accurate financial records using accounting software (e.g., ) and generate monthly financial reports for management review.
- Coordinate payroll for office and field staff, ensuring timely and accurate processing.
- Handle client inquiries, prepare service quotes, and follow up on billing and payment statuses.
- Schedule appointments, crew assignments, and equipment usage in collaboration with field supervisors.
- Maintain personnel records, track certifications (e.g., arborist credentials), and assist with onboarding new hires.
- Ensure compliance with local, state, and federal regulations related to business operations and financial reporting.
- Assist in budget preparation and monitor expenses to support cost-effective operations.
- Manage office communications, including phone, email, and client-facing interactions, with a professional and courteous demeanor.
- Support marketing efforts by updating client databases, coordinating promotional materials, and tracking leads.
Qualifications:
- Proven experience as an Office Manager, Administrative Assistant, or similar role with a focus on accounting responsibilities.
- Strong proficiency in accounting principles and practices, including bookkeeping, accounts payable/receivable, and financial reporting.
- Experience with accounting software ( or similar) and Microsoft Office Suite (Excel, Word, Outlook).
- Experience in Administrative experience role, preferably in landscaping, construction, or a related industry.
- Excellent organizational and multitasking skills with a keen attention to detail.
- Ability to work independently and collaboratively in a fast-paced environment.
- Strong communication skills, both written and verbal, for interacting with clients, vendors, and team members.
