The Cypress is recruiting for a hospitality focused Dispatch Coordinator to work full-time, Mon-Fri, 8a - 4:30p. This role is responsible for coordinating and expediting the transportation and maintenance systems and operations in an exemplary manner so that services are provided in an expeditious and courteous manner.
Here are a few of the daily responsibilities of a Dispatch Coordinator:
- Receives maintenance and transportation calls, communications, or special requests from members, guests, or staff and takes messages, creates work orders, or dispatches maintenance and transportation personnel as needed.
- Maintains software program and initiates work orders for maintenance and transportation personnel or refers to other departments.
- Schedules drivers and maintains constant communications to coordinate all transportation needs.
- Coordinates the distribution of memos and notices to Members.
- Continually maintains up-to-date record of all work orders in maintenance program and distributes jobs to plant services personnel.
- Collects and maintains department records such as visitor logs, guard reports, company vehicle logs, inventories, and routine maintenance logs.
- Assists with clerical responsibilities such as filing, letter/memo/posting writing, and data processing as requested. Serves as back-up driver as needed to provide for special requests, additional coverage, or immediate needs.
Here are a few of the qualifications we need you to have:
- At least one year of Dispatch or Office Administration experience required.
- High School diploma, GED, or equivalent is required.
- Proficiency in Microsoft Word, Excel, PowerPoint and other various systems applications.
- Must demonstrate good planning and organizational skills.
- Ability to manage several projects simultaneously while working under pressure to meet deadlines.
- Must be at least 18 years or older and have a valid driver license and maintain a “clean” driving record.
- Will be required to drive company vehicle, including golf carts.
- Comprehensive knowledge of administrative functions including office equipment.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Excellent organizational skills and attention to detail.
- Ability to thrive in a fast-paced, rapid growth environment with agility and flexibility.
- Proven ability to work effectively in a team environment. Must be able to effectively communicate, read, write, and follow oral and written instructions in English.
Pay starting at $22.00 per hour depending on experience.
