Who are we looking for?
The Executive Assistant is an individual who is willing and able to assist the CEO in growing the company. This person relishes the opportunity to build, implement, and manage multiple systems with minimal supervision. The Executive Assistant is deeply committed to completing tasks the right way with a high degree of quality, attention to detail, and consistent communication. This person has immense focus and can do one thing for a long time without getting distracted. This individual should exhibit drive and desire to take initiative to improve the overall systems and processes of the organization.
An Executive Assistant is deeply committed to supporting the CEO in achieving greater and greater levels of success for the organization, and to growing his/her own skills. As the success of the team grows, this individual will be responsible for a variety of tasks and projects across multiple departments that will help enable more growth.
Essential duties and responsibilities
- Strategic Support – Maintain and update the Team Leader’s V/TO, ensuring benchmarks are met. Keep the Team Leader focused on top priorities by managing responsibilities and removing distractions.
- Email & Calendar Management – Monitor, manage, and respond to emails on behalf of the Team Leader. Coordinate and oversee scheduling, appointments, and meetings. Collect RSVPs, send reminders, and prepare agendas.
- Project & Task Management – Track weekly priorities, manage key projects, and complete administrative tasks resulting from leadership meetings.
- Event & Travel Coordination – Register for events, book travel, and prepare itineraries for both professional and personal needs.
- Data & Reporting – Conduct research, compile reports, and ensure the Team Leader has the data needed to make informed decisions.
- Communications & Content Creation – Draft Facebook announcements, newsletter articles, job descriptions, and onboarding plans (30/60/90-day schedules).
- Recruiting & Team Coordination – Assist in recruitment efforts and coordinate quarterly conversations with direct reports.
- Miscellaneous Support – Be a proactive gatekeeper and handle additional tasks as assigned.

- Proficient ability to use technology, including but not limited to Google Apps for Work, CRM, Canva, Facebook, etc.

Education/Experience
- Previous executive assistant work experience required
- Previous real estate work experience preferred
Hours/Benefits
- 20 hours/week minimum
- Ability to work during normal business hours EST

Pay: $32,000.00 - $45,000.00 per year
