Position Summary:
We are looking for a dynamic and self-motivated Legal Administrative Assistant who can help our attorneys and paralegals assist our clients with all things administrative to join our legal team. As a legal administrative assistant, you will be responsible for scheduling calendar hearings and deadlines, organizing case files, managing logistics related to checking on medical records, and call backs. - Perform administrative duties, such as scheduling calendar hearings and deadlines, organizing case files, and managing logistics.
- Maintain pleadings and discovery indexes.
- Organize exhibits, documents, evidence, briefs, and appendices.
- Implement and improve upon administrative processes for more efficient workflow.
- Collect, examine, and organize evidence and other legal documents for attorney review and case preparation.
- Draft and proofread correspondence and legal documents, such as pleadings and contracts
- Research regulations, laws, and legal articles to assist with the preparation of reports, case files, and legal advice.
- Manage client billing by preparing, finalizing, and sending out bills, as well as resolving billing issues in cooperation with the billing attorney.
- Communicate with clients and witnesses to schedule meetings, interviews, and depositions.
- Manage, organize, and maintain documents in paper or electronic filing systems.
- Provide general administrative assistance, such as maintaining the attorney’s calendar and making travel arrangements.

- Handle office administrative and correspondence tasks such as responding to emails, and phone calls, communicating with opposing attorney offices, and letting the team know of upcoming deadlines.
- Collect, examine, and organize evidence and other legal documents for attorney review and case preparation.
- Review medical and Medicare records.
- Assist in preparing materials for depositions, hearings, and other meetings; Ensure all necessary documentation is in order.
- Be willing to take on any other necessary administrative tasks to help the firm run smoothly.
Qualifications/Requirements:
- High school diploma or GED.
- Associate degree in paralegal studies, bachelor’s degree, or a Paralegal Certificate (preferred).
- Prior experience as a Legal Administrative Assistant (preferred).
- Consistent, professional dress, and manner.
- Excellent written and verbal communication skills.
- Competency in Microsoft applications including Word, Excel, and Outlook.
- Good time management skills.
- Must be able to think critically and independently tackle new challenges.

- Experience with administrative and clerical procedures.
- Able to contribute positively as part of a team, helping with various tasks as required.
