Position Summary:

We are looking for a dynamic and self-motivated Legal Administrative Assistant who can help our attorneys and paralegals assist our clients with all things administrative to join our legal team. As a legal administrative assistant, you will be responsible for scheduling calendar hearings and deadlines, organizing case files, managing logistics related to checking on medical records, and call backs.   • Perform administrative duties, such as scheduling calendar hearings and deadlines, organizing case files, and managing logistics.
  • Maintain pleadings and discovery indexes.
  • Organize exhibits, documents, evidence, briefs, and appendices.
  • Implement and improve upon administrative processes for more efficient workflow.
  • Collect, examine, and organize evidence and other legal documents for attorney review and case preparation.
  • Draft and proofread correspondence and legal documents, such as pleadings and contracts
  • Research regulations, laws, and legal articles to assist with the preparation of reports, case files, and legal advice.
  • Manage client billing by preparing, finalizing, and sending out bills, as well as resolving billing issues in cooperation with the billing attorney.
  • Communicate with clients and witnesses to schedule meetings, interviews, and depositions.
  • Manage, organize, and maintain documents in paper or electronic filing systems.
  • Provide general administrative assistance, such as maintaining the attorney’s calendar and making travel arrangements.


Essential Duties and Responsibilities:

  • Provide general administrative assistance, such as maintaining the attorney’s calendar.
  • Handle office administrative and correspondence tasks such as responding to emails, and phone calls, communicating with opposing attorney offices, and letting the team know of upcoming deadlines.
  • Collect, examine, and organize evidence and other legal documents for attorney review and case preparation.
  • Review medical and Medicare records.
  • Assist in preparing materials for depositions, hearings, and other meetings; Ensure all necessary documentation is in order.
  • Be willing to take on any other necessary administrative tasks to help the firm run smoothly.


Qualifications/Requirements:

  • High school diploma or GED.
  • Associate degree in paralegal studies, bachelor’s degree, or a Paralegal Certificate (preferred).
  • Prior experience as a Legal Administrative Assistant (preferred).
  • Consistent, professional dress, and manner.
  • Excellent written and verbal communication skills.
  • Competency in Microsoft applications including Word, Excel, and Outlook.
  • Good time management skills.
  • Must be able to think critically and independently tackle new challenges.
  • Excellent organizational and multitasking skills
  • Strong attention to detail
  • Experience with administrative and clerical procedures.
  • Able to contribute positively as part of a team, helping with various tasks as required.
