The Door is an unparalleled model for youth development, offering a comprehensive range of integrated services within a single site for nearly 9,000 New York City youth each year. The Door’s Career and Education Services Department aims to support young people in completing secondary education and successfully transitioning into post-secondary education and employment. Programs within the Career and Education Services Department (CareerED) are designed to help young people in school, out-of-school, and out-of-work assess, set, and obtain their educational and career goals. CareerED services specifically allow a young person to craft a personalized life plan defining the steps he/she /they will take to achieve those goals while developing the necessary skills for future life success and independence. The Coordinator, Career & Education and Legal Services Administrative Services will provide administrative and operations support and coverage for the Career & Education and Legal Services teams.
The Door’s Bronx Youth Center Legal Services Center provides civil legal services to young people in matters such as immigration, public benefits, housing, and family law. We represent undocumented youth in various immigration matters, including Special Immigrant Juvenile Status, Asylum, and U and T Visas. We represent clients in affirmative applications, defend clients in removal proceedings, and work with unaccompanied minors detained in federal custody.
Responsibilities:
- Maintain supplies by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders, and verifying receipt of supplies.
- Process requests for payment and manages ordering, purchasing, and invoicing activities.
- Assist with quality assurance, maintenance of data systems, filing and administration of contracts, and maintaining contact lists.
- Generate memos, emails, and reports to support programs and schedule meetings/appointments.
- Be the point person for all front desk-related duties, including but not limited to answering phones, greeting visitors, directing visitors to the appropriate personnel, and redirecting young people to classes.
- Respond to internal and external questions and requests for information.
- Participate in relevant departmental, agency, and external agency meetings, training, workshops, and events.
- Handle any appropriate additional responsibilities and functions as assigned by the Supervisor and/or Director.
- Perform tasks as requested by senior management.
- Assist the Administrative Assistant in answering email inquiries.
- Monitor and respond to emails received in the BYC general inbox.
Qualifications and Requirements:
- High School Diploma or HSE required with two years of experience in administrative work; bachelor’s degree preferred
- A minimum of 2 years in an administrative-related position is required
- Knowledge of and ability to apply positive youth development principles to working with young people
- Proficiency in Microsoft Office with expertise in Microsoft Word, Excel, Outlook, and PowerPoint
- Ability to analyze and revise operating practices to improve efficiency
- Detail-oriented and comfortable working in a fast-paced office environment
- Exceptional written and verbal communication skills
- Superior organization skills and dedication to completing projects in a timely manner
- Ability to handle sensitive and confidential information appropriately
- Proficiency in Spanish and French required
Work Schedule: Full-Time Monday-Friday, 35 hours per week in-person. Occasional evenings may be required.
Salary: $50,000 - $55,000
