What are the responsibilities and job description for the Event Transportation Administrator position at The Driver Provider?
Job Summary: The Event Transportation Administrator is responsible for providing administrative and logistical support the Events team in their activities to create and deliver programs for our customers.
Essential Job Functions
To perform this job successfully, an individual must be experienced at supporting a group in the service area and the ability to ensure excellent service and smooth operations. The successful incumbent will be a service and events professional as well as an experienced, effective communicator and perform at a high level of efficiency on a consistent basis and assisting the events team with a high number of events, ranging from small meetings to large, multi-location programs.
Duties:
· Supporting in-office, the events managers with logistical and administrative support
· Maintaining records of all bookings e.g. venue and facilitating billing and payment where necessary
· Ensure accurate and timely data entry and flow
· Attending all meetings to act as a second point of contact
· Sending out quotes and confirmations
· Helping set up and dismantle events efficiently through to completion
· Ensuring all branded items for events arrive on time
· Coordinate post-event follow-up activities including putting supplies away, and follow-up correspondence
· Manage inventory for internal staff needs (program supplies) and materials (comm materials & workshop snacks) to support service delivery operations
· Serve as the point person for trouble shooting challenges related to the administrative and IT support
· Other duties as assigned
Essential requirements:

Experience and Education
· HS diploma or equivalent required
· BS In Marketing or related area preferred
Experience
· Hospitality experience required, destination management service or transportation event experience highly preferred
· Prior administrative experience, required
· Ability to manage multiple projects with multiple deadlines
Physical Working Conditions:
Position would spend time in an office setting, in the field and in vehicles. Office work may require prolonged sitting, standing, walking, kneeling, squatting and stooping in the performance of daily activities. Field work would require the ability to work outside in various weather conditions and actively in a provided vehicle. Work in repair facilities or depots may require walking on uneven surfaces, entering and debarking from vehicles, and changes in temperature and noise levels. The position may also require the ability to lift, drag and push files, paper and documents weighing up to 35 pounds.
Special Requirements: (1) Must be willing and able to travel to and attend training and meetings within or outside the boundaries of the home area; (2) Must be willing and able to work outside regular business hours and on occasional weekends, attending meetings, etc. as needed.
