The Coordinator will provide comprehensive administrative support, calendar management, project coordination, document development, minute taking, and provide assistance to the entirety of the Transactions Department. The Coordinator interacts with a diverse group of internal and external clients at all levels of the Company. This role requires strong analytic skills, professional judgment, tact, flexibility, timeliness, attention to detail, ability to multi-task, plan, prioritize, and organize around a diversified workload.
Responsibilities
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Manage professional communication and corporate correspondence by answering calls, taking messages or forwarding to the appropriate party• Manage calendars of Transactions team, oversee scheduling of meetings, coordinate internally and externally to resolve scheduling conflicts with prioritization of time sensitive meetings• Schedule, organize, and provide support with meetings, conference calls, travel, and related logistics• Plan, coordinate, and facilitate team meetings including preparation and circulation of meeting materials, preparation of conference room, management of web conferencing platform, and coordinating attendance of external parties• Maintain or create new spreadsheets, reports, presentations, forms and correspondence to fit the needs of projects as directed• Ability to attend meetings on complex subject matters to record action items and track progress• Assist with a variety of administrative tasks including copying, faxing, taking notes, and maintaining records• Prioritize, organize, prepare and distribute internal/external documents accordingly• Maintain files and databases for efficient retrieval and disposition of documents• Research, collect and save information on the DMS database system in accordance with Transactions Dept. protocols• Process invoices in accordance with Transactions Dept. protocols • Take notes and maintain meeting minutes for reoccurring department meetings• Assist with projects on an ad-hoc basis • Maintain work area in a neat, organized and functional manner• Comply with Company policies and procedures• Perform other related duties as required and assigned• Serve as a resource, advocate, and catalyst for sustainability at The Durst Organization. Qualifications
Areas of Knowledge, Skills and Abilities:
- 4 year accredited college degree or High School diploma
- 3 years of administrative experience in a corporate environment
- Able to interact effectively with employees and visitors
- Able to work independently and in team settings
- Able to organize schedules, projects, set priorities and maintain functional work environment
- Effective oral and written communication; ability to write and speak in a clear, concise manner, actively listen and seek clarification as necessary
- Maintain a professional office demeanor
- Intermediate to advanced computer skills including databases, Microsoft Word, Excel, Outlook, and PowerPoint
CERTIFICATES, LICENSES, REGISTRATIONS:
- College Degree or relevant office administration program certification preferred
Salary Range: $70,000 - $85,000 annually
