We are seeking a highly organized and detail-oriented Assistant Office Manager to ensure efficient clinic flow. The ideal candidate will have experience in chiropractic, naturopathic, functional medicine office operations, or similar, and possess strong administrative skills. This role requires excellent communication abilities, phone etiquette, and a knack for multitasking. The Assistant Office Manager will be responsible for direct support of the doctor, associate provider, and our patients.
Responsibilities
- Directly support the doctor/providers with preparing rooms for patient visits, checking out patients, and preparing internal documents.
- Greeting patients, guiding them throughout their appointments, and ensuring a welcoming/healing environment.
- Administrative tasks include scheduling appointments, managing files, light office cleaning as needed, and maintaining office supplies.
- Operate modalities such as Infrared sauna, ionic foot bath, and PEMF treatments.
Qualifications
- Proven experience in an administrative office role, ideally in the chiropractic, naturopathic, or functional medicine office, or a similar administrative role.
- Strong phone etiquette, excellent verbal communication skills, and proficient software skills.
- Out-going attitude, always willing to give each task your best effort, and eager to learn new tasks.
- Ability to make a mistake, learn from it, and move on quickly. The ideal candidate embraces change and is willing to quickly adapt to the needs of our doctor, providers, and patients as our clinic evolves.
- Ability to work independently but also a knack for being coachable when it's time to learn a new task or role.
- Exceptional organizational skills with attention to detail in file management and scheduling tasks.
- Ability to handle multiple priorities in a fast-paced environment while maintaining professionalism.
