YOUR DAY AS A MEDICAL OFFICE SCHEDULER
As a Part-Time Medical Office Scheduler at The Emerge Center, Foundation, and School for Autism, your day-to-day responsibilities will involve a variety of essential tasks aimed at ensuring smooth operations in our medical office. You can expect to greet families warmly, assist with scheduling appointments, and maintain organized patient records. Daily communication with healthcare providers and families will be crucial, so be prepared to answer inquiries and guide parents through the scheduling process. Attention to detail will be vital as you handle sensitive information and confirm appointments. Your expected schedule will be Monday through Thursday from 8 AM to 1 PM and Friday from 8 AM to 12 PM, allowing for a balanced work-life routine while contributing to a meaningful cause.

The knowledge and skills required for the position are:
1. Scheduling Coordination
Schedule patient evaluations and re-evaluations for SLP, OT, ABA, and BH providers.
Maintain provider calendars ensuring optimal utilization and minimal scheduling conflicts.
Communicate appointment details with patients and caregivers clearly and professionally.
Reschedule appointments as needed documenting changes accurately.
2. Insurance Verification & Documentation
Verify insurance coverage and benefits for all incoming patients before services.
Document insurance eligibility, co-pay authorizations, and referral requirements.
Communicate benefit details and any financial responsibilities to families or caregivers.
3. New Patient Chart Creation
Create and maintain digital patient records using Medtron.
Ensure all required documentation intake forms and demographics are accurately entered and updated.
Assist in the intake process by gathering necessary medical and developmental history.
4. Administrative & Departmental Support
Collaborate with clinical and administrative departments to support daily workflows.
Assist with follow-up calls, faxes, emails, and other correspondence related to patient scheduling or intake.
Support special projects and other departmental tasks as assigned by leadership.
