About the Firm:
A growing financial services company based in Brooklyn, NY, dedicated to providing top-tier financial solutions. We are seeking a highly organized and proactive Executive and Administrative Assistant to support our clients executive team and ensure smooth day-to-day operations.
Key Responsibilities:
- Scheduling & Calendar Management – Coordinate and manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Communication Management – Handle incoming and outgoing communications, including emails, phone calls, and correspondence. Prioritize and respond on behalf of the executive when needed.
- Document Preparation & Management – Prepare, review, and organize documents, reports, and presentations with accuracy and professionalism.
Meeting Coordination – Organize and facilitate meetings, prepare agendas, take minutes, and follow up on action items.
- Financial Administration – Assist with financial tasks such as expense reporting, budgeting, and invoice processing, ensuring timely and accurate record-keeping.
- Client Relations – Manage client interactions, schedule meetings, handle inquiries, and maintain strong relationships.
- Project Management – Assist in planning and executing projects, tracking progress, and ensuring deadlines are met.
- Office Management – Oversee office operations, order supplies, manage office equipment, and ensure a smooth workflow.
- Confidentiality & Discretion – Handle sensitive information with the utmost professionalism and confidentiality.
- Special Projects – Support special initiatives, including research, event planning, and other executive priorities.

Salary : $45,000 - $60,000
