Job Title: Reach East Program Facilitator

Compensation: $6000 per cohort
The Reach East Program Facilitator will provide vital logistical, administrative, communication, and marketing support for the Reach East Marketing Accelerator program. This role ensures the seamless delivery of the program, focusing on empowering small businesses with impactful marketing training and resources. The Facilitator will work closely with program participants, mentors, trainers, and The Exchange and The Foundry leadership to deliver an exceptional experience.
Key Responsibilities
1. Program Coordination and Communication
- Serve as the primary point of contact for program participants, mentors, and trainers.
- Manage program communications, including:
- Sending updates, reminders, and instructions.
- Responding to participant and mentor inquiries in a timely manner.
- Scheduling and coordinating meetings and check-ins.
- Coordinate and facilitate the mentor and participant application and interview process, including tracking submissions, scheduling interviews, and assisting with selection documentation.
- Maintain clear and organized program documentation.
2. Event and Session Logistics
- Secure venues for program training sessions, meetings, and events.
- Manage session logistics, including:
- Coordinating catering, refreshments, and supplies.
- Arranging audio/visual equipment and technology setup.
- Preparing materials, handouts, and tools for each session.
- Oversee session setup and teardown, ensuring smooth operations.
3. Calendar and Resource Management
- Maintain the program calendar, including session dates, mentor meetings, and key deadlines.
- Coordinate and prepare the program’s promotional calendar for participant recruitment, mentor outreach, and key milestones.
- Distribute session schedules, assignments, and resource materials to all stakeholders.
- Track progress and deliverables from mentors, trainers, and participants.
4. Mentor and Participant Support
- Coordinate and monitor mentor-mentee interactions, ensuring regular check-ins.
- Provide mentors with program guidelines, session outlines, and resources.
- Support participants by troubleshooting issues, addressing concerns, and facilitating progress updates.
5. Administrative and Marketing Support
- Track attendance for all program sessions and events.
- Assist with budget tracking for program expenses such as catering, venues, and supplies.
- Organize and maintain program files, documents, and templates.
- Prepare and distribute promotional materials for program recruitment and marketing campaigns.
- Support the creation of marketing content such as program flyers, email campaigns, and social media posts in alignment with the promotional calendar.
- Compile participant and mentor feedback throughout the program.
6. Post-Program Wrap-Up
- Collect and organize program evaluations, feedback, and reports.
- Assist in preparing impact summaries and closing reports for leadership and stakeholders.
- Support planning and execution of the final graduation event, including participant presentations and recognition.
Qualifications
- Education: Associate degree or higher preferred.
- Experience:
- 1-2 years of experience in administrative support, event coordination, program management, or marketing.
- Experience working with community programs or small businesses is a plus.
- Skills:
- Excellent organizational, time management, and communication skills.
- Proficiency with Google Suite, Microsoft Office, and virtual meeting platforms (e.g., Zoom).
- Familiarity with marketing tools, including social media platforms, Canva, or email marketing software.
- Ability to manage multiple tasks, priorities, and deadlines effectively.
- Strong problem-solving and interpersonal abilities.
