Event Manager (Part Time) - Long Term Contract

Our healthcare client is looking for a Freelance Event Manager (Part Time) to join their team working on their team of Event Planners. This role will be 18-24 hrs/week with 2-3 days onsite in their Atlanta, GA office, and some travel will be required. Project duration is expected to start immediately. The role pays $35/hr.

The Event Manager will be responsible for supporting the team of Event Planners, with opportunities to take on the planning and execution of events as they arise. The Event Manager will assist with the shipping of event materials and manage inventory tracking.

What You’ll Do:

• Assist Event Managers in the planning and execution of event logistics for live events, including tasks such as sourcing venues and vendors, coordinating travel arrangements, providing onsite support during events, and handling other event-related responsibilities as needed.
• Manage shipping of event materials and track supplies inventory in coordination with Event Managers
• Assist with the development and execution of effective onsite marketing tactics to generate onsite event attendance
• Partner with Event Managers to manage event budgets ensuring proper forecasting and tracking of cost savings for all programs
• Collaborate with the Financial Operations team to process payments and complete live event reconciliations
• Plan and execute event logistics for live events, including budget management, venue and vendor sourcing, contract negotiations, food and beverage selection, room block management, on-site staff supervision, event setup and flow management, and coordination of audiovisual, furniture, and other on-site materials as opportunities arise.

Qualifications:

• Bachelor’s Degree preferred; Marketing experience a plus
• Minimum three years of experience in conference/event planning, preferably in the healthcare industry but not required
• Experience planning and managing events ranging in attendance from 25-500
• Expert knowledge of MS Excel and all other Microsoft Office software
• Working knowledge of Google Applications (Gmail, Sheets, Docs, Forms)
• Strong attention to detail and ability to manage and prioritize multiple projects simultaneously with excellent organizational skills
• Strong written and verbal communication skills, the ability to interact with internal teams along with external vendors and clients
• Demonstrated ability to work independently and with dynamic teams
• Ability to work in a team environment, pro-active, relationship building customer service focused, take charge problem solver with an outgoing personality
• Knowledge of Workfront is a plus
• Must be able to travel up to 40% of the time and work nights and weekends as needed (international travel is a possibility)
• Ability to lift up to 50 pounds when preparing event materials for shipment and executing events onsite
• Ability to work 2-3 full days in the Atlanta office as needed.

As this is a freelance, contract position, please note that benefits are not included. Candidates are expected to provide their own laptop and have access to a reliable internet connection when remote.
