What are the responsibilities and job description for the Administrative Officer position at The Eyak Corporation and Subsidiaries?
The Administrative Officer serves as a key point of coordination across corporate onboarding, government compliance, HR functions, and administrative operations. This role supports the seamless integration of employees into the organization, ensures compliance with security and government requirements, and facilitates effective day-to-day business operations. Acting as a critical liaison between corporate leadership, HR, security personnel, and employees, the Administrative Officer maintains structured processes, enhances organizational efficiency, and provides executive-level support.
Key Responsibilities:
1. Employee Onboarding & Compliance
- Lead corporate and government onboarding processes, ensuring all new hires complete required documentation within 48 hours of the start date.
- Issue welcome emails with all necessary corporate and government processing instructions.
- Coordinate with HR and IT to set up employee credentials, including email accounts, system access, and security tickets.
- Serve as the primary point of contact for new employees, answering questions and resolving onboarding issues.
- Monitor and track security clearance status and ensure CAC (Common Access Card) receipt status is up to date.
- Facilitate escorting employees to secured locations for security processing and government laptop issuance.
2. Human Resources & Employee Support
- Maintain accurate phone rosters, personnel records, and digital timesheets.
- Assist employees in navigating digital timesheet systems and troubleshoot issues as needed.
- Keep mandatory government training and compliance records up to date.
- Act as an HR liaison, supporting employees with benefits inquiries, workplace policies, and general personnel matters.
- Work closely with Corporate HR to meet requirements.
- Work closely with the Training Manager to ensure proper documentation and training material distribution.
3. Administrative & Executive Support
- Schedule and coordinate meetings, book conference rooms, and ensure proper documentation for all engagements.
- Oversee FedEx log reconciliation at the end of each month.
- Manage facility requests, including securing MEDCoE classrooms for ANAM training.
- Assist in developing and maintaining key personnel lists for ANAM training and field operations.
- Support the leadership team in executing strategic initiatives and maintaining business continuity.
