What You Will Be Doing

As a Vendor Governance Specialist, you deliver comprehensive operational support and expertly manage contracts throughout the entire Independent Service Provider (ISP) onboarding process. You ensure ISP insurance compliance across all TFG Brands, helping to mitigate risk for TFG and its subsidiaries. You serve as the primary contact for insurance-related inquiries and possess a thorough understanding of the systems, processes, and requirements necessary to become a vendor with The Facilities Group. This is a professional position requiring a self-starter with keen attention to detail.

This position is in-person located in our Tampa offices. Candidates are eligible for a hybrid work schedule after 90 days.

Vendor Governance Specialist Duties & Responsibilities

  • Contract Management & Proficiency: Oversee the entire contract process, ensuring expertise in managing, reviewing, and understanding agreements.
  • Vendor Compliance: Ensure all vendors meet company standards and insurance compliance requirements.
  • Vendor Onboarding: Manage the onboarding process for new independent service providers, including contract preparation, management, and review for legal correctness, and compliance.
  • Internal & External Communication: Effectively communicate with Independent Service Providers (ISPs), interdepartmental teams (including Operations, Client Success Teams, and Vendor Relations), Brand Points of Contact, external parties, and insurance brokers.
  • Reporting: Prepare and maintain relevant reports to monitor quality and coverage issues, improve performance, and maintain margin goals.
  • Project Management: Follow up on tasks and projects as assigned to ensure timely completion and quality results.

Supervisory Responsibilities

This position has no supervisory responsibilities.

Education/Experience

A degree or three years in contract management or onboarding experience or any equivalent combination of training and experience that provides the required knowledge, skills, and abilities is qualifying.

Vendor Governance Specialist Skills & Qualities

  • Bilingual a plus; at a minimum, the ability to understand and to make oneself understood by all Spanish-speaking individuals.
  • Computer skills in MS Office, including Outlook, Word, and Excel.
  • Ability to multitask and work in a fast-paced, high-volume environment.
  • CRM system/environment experience preferred or ability to adapt quickly.
  • Excellent verbal and written communication skills.
  • Exceptional attention to detail.
  • Excellent follow-up, time management, communication, and customer service skills.
  • The position requires a team player, a positive proactive attitude, and the ability to adapt quickly to changing priorities.
  • Documentation Audit Experience: Familiarity with auditing documentation for accuracy and compliance preferred.
