Responsibilities will include answering and directing phone calls, mailings, daily administrative functions, perform ad hoc tasks, preparing letters, respond to resident concerns amongst other functions. Training will be provided on our phone systems, RNS services, insurance procurement, our property management software program YARDI which will allow you to create & track work orders, reviewing residential files and ledgers, updating information via portal specific for properties as well as advanced functions as you grow within the organization.

Job Summary: We are seeking an experienced and dedicated residential Assistant Property Manager to work with the Property Manager to oversee and manage the day-to-day operations of an assigned portfolio.
Key Responsibilities:
- Resident Relations: Maintain open and effective communication with residents, by providing timely and complete responses to inquiries and concerns. Providing superior customer service.
- Vendor Relations: Assist Property Manager obtaining bids, following policies of the sealed bid process for large property projects, follow-up with vendors for proposals etc.
- Financial Management: Assist preparation of check requests, shareholder/owner charge backs and assist with monitoring outstanding payments. Collaboration with the Assistant Controller assigned to the account.
- Administrative: Preparation of emails and letters to residents, assist with the preparation of monthly agenda packages, updates to Café’ Portal & Building Link attend to phone calls, maintain electronic files, coordinate move in/out schedule, collect insurance certificates, process alteration agreements, amongst other administrative functions. Availability of attending after-hour Board Meetings and Annual Meetings based on portfolio.
- Staff Management: Supervise and support the property staff, ensuring effective communication, task delegation, and performance evaluation.
- Collaboration: Ability to work with various team members to ensure the operations of the portfolio are maintained.
Qualifications:
- Minimum of 3 years of assistant property management experience.
- Strong organizational and multitasking skills.
- Excellent communications and interpersonal skills.
- Proficiency in property management software (YARDI, Building Link, Microsoft Office).
- Ability to handle emergencies, as needed.
- Valid driver’s license preferred.
- Bi-lingual preferred.
Preferred Qualifications:
- Knowledge of local real estate market and regulations.
- Experience working with Condominiums, Cooperatives, and Homeowner Associations.
- Desire to grow within an organization.
