What are the responsibilities and job description for the Front Desk Assistant (Contractual) (Administrative Assistant II) position at The Fifteenth Judicial Circuit Court?
SUMMARY
The primary function of the Front Desk Assistant (Contractual) is to perform administrative duties and provide clerical support to the Human Resources Team. These tasks include (but are not limited to) handling telephone calls, facilitating customer service activities, distributing mail, typing, and providing administrative assistance to other departments during special projects. The Administrative Assistant II works under the general supervision of a leadership position within the Human Resources Team.
ESSENTIAL DUTIES
- Answer and transfer calls on a multi-line phone system and greet visitors
- Provide information and direct callers/visitors to proper personnel, as well as screen telephone calls and direct visitors to the secure areas of Court Administration
- Maintain a safe and clean reception area
- Send correspondences to relevant stakeholders
- Assist with services provided to the general public
- Type documents, maintain calendars and process mail
- Resolve issues and process sensitive/confidential documents
- Provide clerical assistance to the Americans with Disabilities Act (ADA) Coordinator
- Deliver to and retrieve documents from relevant departments and courthouse partners
- Establish a working relationship with judges, court personnel, attorneys, law enforcement, social services, witnesses and the general public

MINIMUM QUALIFICATIONS / KNOWLEDGE, SKILLS & ABILITIES
Bachelor’s degree, plus a minimum of two years of work experience in office skills or related field.
Relevant experience and/or education may substitute for the recommended minimum qualifications on a year-for-year basis.

Ability to organize documents electronically

- Detailed oriented
- Accurate use of the English language and grammar
- Must have demonstrated ability to work independently, to interact with a diverse set of people in an open, friendly, customer-oriented manner
