Personnel Manager

Department: Artistic Operations

Reports to: Director of Artistic Operations

Supervises: Assistant Personnel Manager

FLSA Status: Full time, exempt

The Personnel Manager (PM) is responsible for the overall management and day-to-day coordination of all musician personnel of The Florida Orchestra. The position services as a liaison among conductors, musicians, union, and administration regarding implementation of personnel policies and monitors mutual compliance with the Collective Bargaining Agreement between The Florida Orchestra, Inc. and Florida Gulf Coast Local 427-721, AFM. The PM recommends and implements orchestra management policy; directs and coordinates musician resources and activities; controls expenditures for musician services, including but not limited to: overtime, substitutes, extras and doubling; ensures that all needed musician personnel are hired and engaged for services as required.

BASIC FUNCTIONS

Act as Primary Liaison Between Musicians and Administration

· Manage clear dissemination of all information to musicians including schedules, locations, seating, and any other pertinent information.

· First line of communication for all interpersonal issues, coordinating with the Director of Artistic Operations, HR, CEO, and conductors as needed.

· Maintain open lines of communication with the Music Director and conductors, providing updates to rehearsal schedules and notifying them and principal players of any musician absences.

· Communicate with library staff to ensure proper information flow to musicians.

· Maintain backstage bulletin board.

· Actively participate as a key member of the Artistic Operations team including attendance at all meetings as required.

· Collaborate with other departments on engaging musicians outside of services.

Ensure CBA Compliance

· Maintain a deep understanding of the work rules outlined in the Collective Bargaining Agreement.

· Serve as an official representative at orchestra services delegating service coverage to Assistant Personnel Manager as needed. Ensure that rehearsals start and end on time, breaks occur as required, services do not go into unauthorized overtime, and compliance with all contractual limitations.

· Maintain a close relationship with Union Steward to foresee issues before they arise.

Manage Orchestra Personnel

· First line of action for all orchestra management issues.

· Oversee personnel assignments, processing of seated rosters, string rotation and seating charts, and documentation of attendance including leave per the CBA. Ensure the engagement of required extra, substitute and one-year acting musicians with section principals.

· Plan and conducts new employee orientation for musicians.

· Maintain a high-caliber roster of extra/substitute musicians to hire in collaboration with principals and Music Director. In conjunction with conductors and other operations staff, determine requirements for extra musicians. Assist out-of-town musicians with transportation and accommodation.

· Generate, administer, and track musician payroll including forms for digital projects.

· Ensure compliance with assigned budget areas and develops, recommends, and implements cost saving measures. Draft and proposes annual personnel expenses with Director of Artistic Operations.

· Work closely with Human Resources on new-hire musician onboarding and annual benefit enrollment.

· Assist in planning tours and runouts.

· Maintain and updates musician contact information.

Oversee Orchestral Auditions

· Communicate with the Audition Committee, candidates, Music Director, and librarians regarding schedule, repertoire, advertisements, and recruitment.

· Oversee planning and execution of all aspects of auditions.

Other duties as assigned

REQUIRED QUALIFICATIONS AND CAPABILITES

· High school degree or higher education

· Personal transportation to TFO office and performance locations around Pinellas and Hillsborough counties

· Knowledge of orchestral repertoire, instrumentation, terminology and practice related to orchestra operations and sensitivity to the needs of orchestral artists

· Ability to work collaboratively as a part of a team, receive instructions, and delegate tasks

· Financial aptitude and responsibility including the ability to calculate and process musician payrolls and assist the Director of Artistic Operations with budgeting

· Excellent verbal and written communication skills

· Competency with computers including software such as Microsoft Suite (Outlook, Word, Excel, Teams) and a willingness to learn new programs as needed

· Willingness to work nights and weekends as needed

· Proactive, can-do, organized leader with an ability to manage multiple projects and complex schedules, identify potential issues, and offer solutions to ongoing department needs

· Calm demeanor

· Utmost professionalism and confidence in dealing with sensitive interpersonal issues

· Ability to think critically and on your feet

· Lift, carry and move up to 25 lbs.

· Access to personal mobile phone

· Sense of humor

PREFERRED QUALIFICATIONS AND CAPABILITES

· Bachelors degree or higher in music

· 3 years experience in the following:

o Orchestra personnel or operations management, or performing in a professional orchestra

o Supervisory experience managing a direct report

o Union relations including working with a Collective Bargaining Agreement

o Processing payroll

· Experience with arts management software such as OPAS or ArtsVision

· Basic knowledge of Human Resources

This is a full-time exempt position with an expected salary of $60,000 - $65,000, with benefits including health, dental, and vision insurance, two weeks paid time off and 10 paid holidays annually, 3% 403b retirement account matching contribution, relocation stipend, partial payment of downtown parking permit in St. Petersburg, and personal vehicle mileage reimbursement. The Personnel Manager or Assistant Personnel Manager is expected at all orchestra services; this includes evening and weekend hours. Accessibility outside of standard business hours and orchestra service times for time sensitive situations is also required.
