Job Overview: As an Event Planner/ Wedding Coordinator, you will be responsible for planning, coordinating, and executing flawless weddings and events from start to finish. You’ll work closely with clients to bring their ideas to life, manage vendors, and ensure every detail is handled with care and precision. The ideal candidate is highly organized, has a passion for creating memorable experiences, and can manage multiple tasks and timelines seamlessly.
Key Responsibilities:
- Client Consultation & Event Design: Work directly with clients to understand their vision, preferences, and budget. Assist with selecting themes, venues, vendors, and creating personalized event designs.
- Vendor Coordination: Build and maintain relationships with vendors (caterers, florists, photographers, musicians, etc.). Negotiate contracts, oversee deliverables, and ensure smooth collaboration.
- Logistics Management: Develop and execute detailed event timelines, schedules, and BEO documents to ensure the event progresses without a hitch.
- Event Day Coordination: Oversee all event details on the day of, managing event staff & vendors, coordinating timelines, and solving any issues that may arise.
- Budget & Financial Oversight: Help clients create and manage event budgets, track expenses, and ensure all payments are processed on time.
- Guest Management: Handle guest lists, seating arrangements, and special requests to ensure a seamless guest experience.
- Post-Event Follow-Up: Conduct post-event evaluations with clients, vendors, and the team to gather feedback and improve future events.
Qualifications:
- Proven experience in event planning & wedding coordination, (3-5 years preferred).
- Strong organizational, time-management, and multitasking skills.
- Excellent communication and interpersonal skills, with the ability to work closely with clients, vendors, and team members.
- Ability to stay calm under pressure and solve problems quickly and efficiently.
- Creative and detail-oriented with an eye for design and aesthetics.
- Proficiency with event planning software (e.g., TripleSeat, Google Calendar, or similar tools) is required.
- Flexible and willing to work evenings, weekends, and holidays as needed for events.
- A passion for creating memorable experiences and providing excellent customer service.
Preferred Qualifications:
- Certification in Event Planning or Wedding Coordination (e.g., WPIC, CMP) is a plus.
- Familiarity with local venues and vendors in the area.
- Experience with design and décor planning.
