I. JOB TITLE: Administrative Assistant
Reports to: Chief Executive Officer
Location: Huntsville, AL
Salary Range: $16-$17 an hour, plus benefits
Status: Non-exempt
Type: Full-time
II. JOB FUNCTION
The Administrative Assistant performs administrative tasks, such as answering phones, receiving visitors, meeting preparation, staff coordination and providing general information about the Food Bank to the public. This position also provides administrative support to the Chief Executive Officer, Chief Operating Officer, Finance Director and Development Director.
III. BACKGROUND
The Food Bank of North Alabama is a nonprofit, tax exempt charity that feeds the hungry today and creates solutions that will end hunger tomorrow. Each year we distribute more than 15 million pounds of food to residents struggling with food insecurity in North Alabama. We work with a network of 230 charitable feeding programs – including food pantries, soup kitchens and children backpack programs. We also pursue proactive solutions that address hunger’s root causes through local food entrepreneurship and healthy food access initiatives.
IV. DUTIES AND RESPONSIBILITIES
· Maintains an in-depth understanding of the Food Bank including mission, values, history, programs and services and plans for the future
· Proactively supports the Chief Executive Officer’s activities and workflow
· Maintains calendar for the Chief Executive Officer, Board of Directors and Food Bank as needed
· Picks up and distributes incoming mail
· Answers telephone to direct calls or provide general information in response to routine questions and provides general information about our services and where to find assistance
· Maintains contact lists
· Greets and escorts volunteers, guests, partner agencies and supporters to specific destinations
· Accepts food donations
· Helps members of the public in need of food assistance
· Coordinates intern activities and projects
· Assists with preparation for monthly board meetings, weekly staff meetings and events, including proficiently setting up virtual options.
· Produces and distributes correspondence, letters and forms
· Maintains office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies and verifying receipt of supplies
· Orders business cards and creates staff name badges
· Administers the copier machines, including communication with vendor
· Assists in creating, implementing, tracking and coordinating staff training, including food safety training
· Provides administrative support to Operations to complete monthly self-inspections and document results
· Handles sensitive information in a confidential manner
· Assists with Human Resources
· Creates, posts and maintains social media accounts and updates website
· Other duties as assigned.
V. QUALIFICATIONS
· Proven administrative or assistant experience
· High school diploma or equivalent, college degree a plus
· Excellent communication skills, both written and verbal
· Strong organizational and time-management skills with ability to multi-task and prioritize
· Exceptional attention to detail and problem-solving skills
· Resourceful, flexible and adaptable style
· Ability to self-start, work independently as well as work effectively in a team
· Capacity to think strategically as well as creatively
· Exhibits a professional demeanor and respect of others’ opinions and participation
· Proficiency using databases and Microsoft Office Professional Suite
· Proficiency with virtual meetings and equipment
· Valid Alabama driver’s license and vehicle insurance
· Passion for the Food Bank’s mission to solve hunger

VI. WORKING CONDITIONS
This work is performed primarily in an office environment while sitting at a computer terminal for extended
periods of time. May involve periodic lifting and carrying of items that may weigh up to 50 pounds. May
work outside normal working hours and drive own vehicle for various projects.
