Job Title: Controller

Program/Dept: Finance

Location: New Hope, MN

Manager: Director of Finance


This is a full-time exempt position, 40 hrs/wk, Mon-Fri, with a competitive benefits package. The hiring salary range is between $75,000 - $85,000.


Job Summary

The Controller is responsible for overseeing accounting activities within the Food Group primarily through use of Quickbooks and Excel; including grants, accounts payable, accounts receivable, cash/banking, audits and payroll. They develop and execute strategies and standards related to accounting policy, general ledger maintenance, financial systems, and controls. Monitors financial condition. Oversees monthly, and annual accounting close processes in compliance with GAAP. This position reports to and collaborates with the Director of Finance and has one direct report, an Accounting Specialist.


Core Job Functions


  • Accounts Payable (AP) and Accounts Receivable (AR):
    • Manage and oversee the Accounts Payable and Accounts Receivable function of the organization. Manages AP/AR policies and procedures.
  • Regularly reviews AP/AR for accuracy.
  • Reviews/approves weekly check run; prints checks.
  • Manages timely payments in accordance with GAAP and organizational policies.
  • Grants Financial Management
    • Review and provide detailed Grant Financial Reviews and Reporting to Exec Team and Grant Managers
    • Assist Advancement team in managing financial relationships with Federal, Corporate, & Foundation grants.
    • Create budgets for Government grants.
    • Provide Grant financial Reports & Request funds for grants in accordance with Grantors needs and requirements.
  • Payroll & Benefits
    • Partner with Accounting Specialist to ensure Bi-weekly Payroll is processed timely and accurately in ADP and approve payroll
    • Work within ADP to distribute W2s annually; follow up with employees who do not receive W2.
    • Serve as the 401K Plan Administrator, leading audits as needed, processing distributions, loans, and leading fiduciary responsibilities.
    • Support HR with other benefits, including collaborating on plans, deductions, ADP set up, and annual open enrollment.
    • Oversee benefits reconciliation against payroll deductions.
  • Month-End:
    • Lead the monthly financial close process.
      • Perform and oversee closing journal entries, accruals, depreciations, restricted income, reconciliations and intercompany entries
    • Perform monthly inventory reconciliation for all Food Group programs
  • Audits Leadership:
    • Ensure all audits are completed on time without material adjustments needed.
  • Lead annual financial audit
    • Serve as main contact for audits and assign tasks to staff
    • Partner with Director of Operations on Organization’s Insurance, Work comp and Liability insurance renewals and audits
    • Manage Grant and state/local audit processes
  • Accounting Team Leadership.
    • Monitor and forecast cash flow activity of the business; review forecast with leadership
    • Provide excellent customer service to internal staff, customers, and vendors
    • Responsible for the leadership and management of the accounting function
    • Drive process changes and continuous improvement working toward increased efficiency on new and existing processes & procedures
    • Stay current with changing accounting standards, regulations, and industry best practices
    • Hire, train and retain highly skilled accounting staff.
    • Ensure team is engaged and aligned with the organization’s values, goals, and objectives.
    • Collaborate with Finance Director on annual budget & forecast process; financial reporting; developing and monitoring business performance metrics.
  • Assist in team projects and other duties as assigned.


Position Requirements


Skills, Knowledge, and Abilities

  • Bilingual fluency preferred.
  • Knowledge of QuickBooks Enterprise a plus
  • Microsoft office programs and computer skills; advanced Excel skills
  • Good understanding of principles, practices, and techniques of non-profit accounting administration, including month end close, banking/cash and payroll.
  • Understanding of Comprehensive principles, practices and techniques of financial planning and analysis.
  • Understanding the development and implementation of financial programs, internal controls, policies and procedures.
  • All employees must pass a pre-employment background study


Education and Experience

  • Bachelor’s Degree in Finance or Accounting and 5 years of accounting/finance experience; or equivalent education/experience
  • Experience working in a community-based nonprofit is preferred.
  • Experience in QuickBooks is required.
  • Prior experience leading a finance team; supervision experience a plus
  • Understanding of US GAAP.
  • Prior experience with ADP HRIS preferred, but not required.
  • CPA designation is a plus (active or inactive)


Licenses and/or Certifications

  • Valid MN driver’s license and proof of auto insurance. Dependable transportation is required.


Working Conditions and Environment

This position is located in a dog-friendly office setting. The building is accessible and smoke free. This position works during normal business hours and might include some evening and/or weekend hours. Start times are flexible to adjust to bus, biking, or other transportation schedules. Must be able to lift a minimum of 40 pounds if needed. Must be able to sit for long periods of time and utilize various office equipment (e.g., computer, phone, and calculator) on a continual basis. Must be comfortable with working on a hybrid team.
