We are seeking a friendly and organized Receptionist to join our team at The Foot & Ankle Center of Colorado Springs. As the first point of contact for our patients and visitors, you will play a vital role in creating a welcoming atmosphere while managing our front desk and performing a variety of administrative and clerical tasks. In this position, you will provide essential administrative support throughout the organization, greet and assist guests, and coordinate front-desk operations, including patient check-ins and phone call management. The ideal candidate will have a warm and approachable demeanor, as this role is integral to our commitment to exceptional customer service. Success in this position requires the ability to handle emergencies calmly and efficiently, streamline office processes, and juggle multiple tasks with ease. Strong stress management skills and a positive attitude are a must. Flexibility is also a plus, as this role may involve working in shifts. Ultimately, you will ensure our front desk operates smoothly, delivering a professional and welcoming experience for all while maintaining the highest standards in administrative support. We are hiring for a full-time position with the following schedule: Monday through Thursday, 7:45 AM to 5:00 PM, and Friday, 7:45 AM to 12:00 PM. - Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and office
- Answer, screen, and forward incoming phone calls
- Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, and brochures)
- Provide basic and accurate information in person and via phone/email
- Receive, sort, and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Check patients in and out
- Update calendars and schedule appointments
- Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing
- Proven work experience as a Receptionist, Front Office Representative, or similar role
- Proficiency in Microsoft Office Suite (Word & Excel) and GSuite (Google Docs and Sheets)
- Hands-on experience with office equipment (e.g., fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
- High school diploma; additional certification in Office Management is a plus
