Groups Coordinator
The Groups Coordinator will be the lead onsite contact for all groups (corporate, education, and parties) booking an event at The Forge: Lemont Quarries. Their focus is to make sure we are prepared for all groups prior to arrival and overseeing their experience on the day of the event.
PRIMARY JOB RESPONSIBILITIES:
Responsibilities include, but are not necessarily limited to:
- Must be welcoming, friendly, and comfortable interacting with different personality types and backgrounds. This role will be many visitors' first impression of the park upon arrival.
- Communicate with guest experience and sales team members on a weekly basis to understand the details for upcoming groups who will be visiting the park.
- Meet, greet, and check in with the main contact for each group; confirming all payments have been made, waivers have been signed, and showing them to their designated area.
- Report to the Guest Services Manager and work closely with most teams to ensure clear and consistent communication to all groups, being the main point of contact for questions and planning leading up to the event date.
- Collaborate with park staff in advance of large group events to prepare the supervisors of crowd size, confirm adequate staffing for the day, check in with catering (if applicable) to confirm food & beverage orders, and ensure reserved space is cleaned prior to group arrival.
- Be adaptable and comfortable with unexpected changes (we are an outdoor park and have to be proactive with updating plans when weather rolls in).
- Act proactively to check in with groups, answer questions, and get feedback on their visit to pass along to leadership.
- Be proficient in Roller software to check waivers, adjust pricing, collect payment, and view/add reservation notes for group reservations. You will receive training on this once you start.
- Demonstrate The Forge: Lemont Quarries core values in interactions with staff, members, and guests in word and in action.
- Will coordinate with The Creamery to ensure catering demands are met for parties.
QUALIFICATIONS AND REQUIREMENTS:
- Must be 18 years of age
- Must be able to work outside in all weather conditions including sun, rain, wind, and extreme heat/cold for extended periods. Job requires employees to be outside for the entirety of each shift
- You must be comfortable and willing to climb as necessary
- You need to be able to lift and carry a minimum of 25 pounds
- Near boundless energy, enthusiasm, and passion for your work
SCHEDULING AND STAFFING:
- This is a seasonal part time position that will run from March through October
- Weekend availability will be required
- Candidate will be required to work 30 hours per week from Memorial Day to Labor Day
