Job Summary :
Seeking a highly organized and proactive Admin Assistant to support the Head of Marketing - US Patient Services and their direct reports. The role requires strong administrative, project management, and communication skills to manage calendars, coordinate meetings, and support various operational needs in a fast-paced environment.
Key Responsibilities :
- Calendar & Meeting Management : Handle complex scheduling, proactively resolving conflicts, ensuring follow-ups, and coordinating agendas.
- Expense & Travel Management : Process expense reports (especially for offsite meetings), book travel (10-15% of the role), and arrange accommodations.
- Event & Logistics Coordination : Plan team meetings, large-scale events, and offsite logistics, including travel and catering.
- Onboarding & Offboarding : Facilitate seamless transitions for new hires and departing employees.
- Document Preparation : Create presentations, compile meeting content, and maintain departmental files.
- Cross-Team Collaboration : Work across brands and a large marketing team, ensuring smooth operations and team engagement (including Culture Club initiatives).
- Technology & Compliance : Proficient in Microsoft Office Suite (Excel, PowerPoint, Teams, SharePoint), corporate policies, and travel / expense platforms.
