The Fund for Public Health in New York City (FPHNYC) is a 501(c)3 non-profit organization dedicated to advancing the health and well-being of all New Yorkers. To this end, in partnership with the New York City Department of Health and Mental Hygiene (DOHMH), FPHNYC incubates innovative public health initiatives implemented by DOHMH to advance community health throughout the city. It facilitates partnerships, often new and unconventional, between the government and the private sector to develop, test, and launch new initiatives. These collaborations speed the execution of demonstration projects, affect expansion of successful pilot programs, and support rapid implementation to meet the public health needs of individuals, families, and communities across New York City.

Reporting to the Senior Manager of Institutional Giving, the External Affairs Coordinator is responsible for providing day-to-day administrative support for FPHNYC’s External Affairs Office which includes the Development and Marketing & Communications Departments

9:00 am – 5:00 pm
Monday to Friday
Hybrid: three days in office (Tues-Thurs)

POSITION OVERVIEW
Reporting to the Senior Manager of Institutional Giving, the External Affairs Coordinator is responsible for providing day-to-day administrative support for FPHNYC’s External Affairs Office which includes the Development and Marketing & Communications Departments
DEVELOPMENT RESPONSIBILITIES
- Provide general administrative support
- Monitor departmental deliverables and distribute as assigned
- Data entry and maintenance in the Salesforce database to maintain data integrity and facilitate tracking and report development
- Track post-submission processes related to grants and contracts
- Conduct donor and funder prospect research
- Maintain departmental electronic filing systems
- Monitor federal and state grant opportunities
- Coordinate weekly External Affairs meeting, including scheduling, agenda development, collection and distribution of meeting materials, minutes, and related follow-up
- Schedule internal and external stakeholder meetings as assigned
- Prepare acknowledgment letters weekly
- Track gift receipts in Salesforce and reconcile monthly with Finance
- Support events featuring internal and external audiences
- Other duties as assigned
- Monitor info@fphnyc.org mailbox daily and route communications to relevant Development and Marketing & Communications staff
- Provide support in preparing monthly MarCom metrics, reports, and invoicing
- Assist in the timely scheduling, creation, and posting of social media content
- Assist in the creation of presentation materials, collateral, and other materials for multiple audiences
- Contribute to coordinating online and in-person events, including Public Health Talks, high-profile events serving multiple audiences including donors, funders, Health Department staff, and more
- Ensure data coordination between Salesforce, Mailchimp, and other relevant platforms
- Other duties as assigned
- Bachelor’s degree
- Strong interpersonal, written, and communication skills
- Excellent attention to detail and eye for accuracy
- Excellent research skills
- Proficiency with Microsoft Office Suite, including Excel, Word, PowerPoint, Outlook and SharePoint
- Proficiency with Salesforce or similar CRM(s)
- Preferred proficiency in social media platforms (LinkedIn, Facebook, Twitter, Instagram)
- Proactive self-starter, comfortable juggling multiple projects and prioritizing requests/needs of the team
- Ability to track multiple deadlines, priorities, and projects simultaneously
- Ability to take initiative and work independently and as part of a team
- Committed to public health, equity, and social justice
- Adaptability, positivity, professionalism
- Some administrative experience preferred
