Position Summary:

The Theater Coordinator is responsible for assisting the Director of Member Life and Events in the implementation and execution of all activities pertaining to quality member activities, including the following departments: Theater (Glenridge Performing Arts Center) and Communications media (channel 195 & 196, The Piper, bulletin boards and the Glenridge Minute). Assists the Director and other departmental staff in providing creative and life enriching daily activities and events that provide for a vibrant and engaged Member lifestyle at The Glenridge on Palmer Ranch (GPR).

Responsibilities:

1.    Greets visitors at Member Business Center, helps with DVD checkout, copying assistance, etc. Provides information to community members and families as necessary or refers the individual to the appropriate department. Assists in solving problems that may arise.
2.    May be required to represent the Glenridge at off-site events, including planning, set-up, participation in and takedown of exhibit.
3.    General knowledge of theatrical house management and event production and hosting.
4.    Coordinates the proofing, editing, writing, and designing articles and promotional ads for the Piper Newsletter.
5.    Assists in planning and executing all Theatre performances.  This includes initial contact, planning, travel arrangements and execution of these events.  Responsible for all paperwork associated with the event including contracts, invoices, etc.  
6.    As needed, designs, types, and prints programs for Glenridge Singers, Players and Harmonaires performances and provides additional support as needed.
7.    Set-up and use the Box Office Ticketing software to reserves seats for members and outside guests.
8.    Serves as staff liaison for certain Member committees, implementing member events and coordinating with other departments as needed:
a.    Social Committee – Assists committee in planning, implementing, and setting up social events and parties, such as Halloween, Holiday Gala, themed events etc. Schedules entertainers and dance hosts for parties. Coordinates reservations, either with Concierge or via party phone line.  Assists with contract paperwork as needed.
b.    Women’s Lunch Committee – Assists in selection and scheduling of speakers and promotion of monthly luncheons, as needed.
9.    Supports the Director of Member Life in major campus and community wide programs, events and activities.
10.    Creates in-house slides (and printed flyers) for advertising Member Life events via the in-house channels. 
11.    Operates the theatre sound and light systems for events, movies and/or meetings.  
12.    Assists Member Life with parties and events as needed including décor, menu planning, seating arrangements, greeting, recording attendance, etc.
13.    Creates announcements for in-house TV, bulletin boards and the Piper newsletter.
14.    Serves as back-up for deceased member procedures, especially after hours and/or weekends. 
15.    Performs administrative requirements such as answering phones, making theatre reservations, completing necessary worksheets or forms, processing mail, scheduling appointments, etc.  When required prepares correspondence and submits to Director of Member Life for approval.
16.    Uses good judgment in determining needs of the company and in maintaining information delivery in conformance with recognized standards; and is expected to understand and follow all regulatory and facility policies.

18.    Maintains confidentiality of members’ PHI (Protected Health Information) and medical records information as well.
19.    Other various duties as assigned.

Qualifications:

  • Must have at least a high school diploma or equivalent, with some college coursework or experience in event production.
  • At least two (2) years of proven experience as an event planner or organizer. A background in communications and social networking is strongly preferred.
  • General knowledge of theatrical house management, event production, and hosting.
  • Proficiency in computer software relevant to the job. Experience with electronic medical records is preferred.
  • Excellent decision-making and analytical skills.
  • Strong communication and problem-solving skills.
  • Exceptional organizational and time management abilities.
  • Must be empathetic, enthusiastic, and have an affinity for working with a diverse senior population.
  • Must be well-organized, able to work with limited direction, take initiative, and plan and execute responsibilities, managing one's schedule and duties to complete tasks effectively.
