Word Processing Lead Operator

Overview:

Contribute to the creation and refinement of department-specific processes. Engage in continuous skill-building through training programs. Support the accurate input and management of data within the department's Document Tracking system. Ensure smooth transitions of work instructions between shifts.

Prior law firm experience is required for this role.

Work Hours: Monday-Friday, 4:00 p.m. - 11:45 p.m. (on-site)

Core Responsibilities:

• Proficiently edit, input, scan, convert, and format legal documents.
• Take initiative to address and manage front desk tasks as needed.
• Aid in the digital coordination of workflows to ensure high-quality document output.
• Communicate effectively, both written and verbally, across various platforms.
• Provide support to both legal and non-legal staff as necessary.
• Evaluate documents and provide accurate time estimates for tasks.
• Manage large Excel files and prepare them for printing.
• Assist in the organization and distribution of documents in a detailed manner.
• Be flexible and cover additional shifts when required.
• Participate in ongoing training to enhance proficiency in the firm’s document production tools.
• Assist in the creation and modification of graphic presentations.
• Help ensure SEC compliance by converting PDFs to PDFA format.

Required Knowledge, Skills, and Abilities:

• Outstanding customer service skills to interact with others effectively and courteously, especially under time constraints.
• Ability to collaborate as a team member with various personnel, including supervisors, coordinators, and other departments.
• Advanced knowledge of Microsoft Office Suite 2010 (Word, PowerPoint, Excel, Visio, and Outlook).
• In-depth understanding of computer systems and software used in document management.
• Strong organizational skills to manage and prioritize multiple tasks.
• Self-sufficiency in handling tasks independently, with the ability to problem-solve and find solutions as needed.
