About the role
The Seasonal Fundraising Assistant will utilize talents in fundraising, event coordination, team support, and communication—in collaboration with the Interim Fundraising Manager and the Executive Director—to meet revenue goals, streamline events, and build community with donors. This position will contribute across disciplines by supporting all team members and organizational priorities.
Duties/Responsibilities (including but not limited to):
Fundraising Events Support:
- Work closely with Interim Fundraising Manager to coordinate aspects of the Goodtimes Gala and Drive-A-Thon, as well as other fundraising events and fundraising initiatives, and stewardship activities.
- Assist with procurement of auction items and in-kind donations.
- Support event database management: input items, assist with package creation and description writing, and other tasks as appropriate”
- Monitor and support event websites
- Work with volunteer committees to ensure procurement and logistic timelines are met.
- Assist team of event volunteers during set up, event duration, and cleanup of fundraising and stewardship events.
General Fundraising Support:
- Assist in donation acceptance tasks including maintaining donor database as well as donor stewardship activities, acknowledgment letters, and birthday, honor, and in memoriam card mailings.
- Work with Interim Fundraising Manager to maintain an up-to-date and clean donor database.
Organizational Support:
- Assist with daily office functions including answering phone calls, replenishing supplies, checking mail, etc.
- Contribute to the overall success of goals and initiatives of The Goodtimes Project by working as a team—supporting teammates, collaborating, and problem solving.
- Support program logistics related to Camp Goodtimes, weekend retreats, and other single day program opportunities.
- Other duties as assigned.
What we are looking for
- High-level organizational and time management skills; flexibility to manage across multiple focus areas/seasonal priorities.
- 2 years of event coordination, fundraising, managing volunteers, office logistics, or related experience preferred.
- Proficient in MS Office Suite (Word, Outlook, Excel) and Google Docs/Forms as well as an ability to learn additional software, including donor databases and auction software (examples include Greater Giving, Bloomerang, and Canva).
- Strong oral and written communication skills.
- Must be available the weeks of April 28th and May 5th, including Saturday, May 3rd, 2025.
- Must be available to work nights and weekends as needed; some days will include long hours and the potential for local to mid-range travel.
- A strong connection to and knowledge of service-based organizations and/or prior volunteering with The Goodtimes Project or similar is a plus.
- Passion for and ability to nurture our mission; ability to inspire it in others.
- Position is up to 32 hours a week, with the possibility of additional hours, not to exceed 40 hours a week, around fundraising event dates.
- This is an in-office position.
- Daily work schedule is flexible. Must come into the office at least two non-consecutive days per week.
- May require ordinary ambulatory skills; or the ability to stand, walk, and manipulate (lift, carry, move) light to medium weight up to 50 pounds.
Salary and Benefits
The salary range for this non-exempt position is $23-$25/hr. The Goodtimes Project does not offer health benefits for this position.
Vaccination Requirement
The Goodtimes Project requires that all employees be vaccinated against: diphtheria, tetanus, pertussis (DTaP); mumps, measles, rubella (MMR); Polio (IPV); Hepatitis B; Varicella (Chicken Pox); and COVID-19 unless a medical or religious exemption is approved. This requirement is designed to prioritize the safety of the children and families we serve. In the event the Seasonal Fundraising Assistant would like to voluntarily participate (unpaid) in overnight and multi-day programming they are subject to the volunteer application process including the vaccination requirements for those programs.
