Job Title: Key Account Manager
Are you an organized, detail-oriented professional who thrives on building relationships and managing logistics? We’re looking for a Key Account Manager to support our VIP clients in the incentive travel industry. This role is perfect for someone who enjoys owning their work, excels in communicating efficiently and effectively, and is skilled at managing data and logistics.
Please note:
- This is a PART-TIME position.
- Light Season (Mid March –Mid September): About 10 hours/week
- Peak Season (Mid-September–Mid March): 20 hours/week
- Must be able to commit to weekly (or bi weekly) in office meetings with management to give a status report and brainstorm solutions to any issues as they arise.
Key Responsibilities:
- Primary Client Liaison: Serve as the dedicated point of contact for our client’s customers. You will be responsible for managing a single account with a designated email address, ensuring prompt and professional responses to all inquiries within a 24-hour timeframe.
- Account Management & Registration Oversight: Maintain, update, and manage registration records in response to customer inquiries. Ensure accuracy and completeness in all data entries to facilitate seamless event execution.
- Data Management & Logistics Coordination: Utilize registration information to create and maintain essential travel documentation, including detailed rooming lists, airline spreadsheets, and arrival/departure manifests. Accuracy and attention to detail are critical in this role.
- Cross-Functional Collaboration: Work closely with internal departments, including the air department, operations team, resort staff, and destination management partners, to coordinate and execute flawless travel arrangements for attendees.
- Client Meeting Participation & Documentation: Attend client meetings via Zoom, take detailed notes, and transcribe key discussion points. Ensure timely distribution of meeting notes to the relevant team members to facilitate clear communication and action planning.
- In-Office Collaboration: Participate in team collaboration every Tuesday and Thursday, fostering communication and efficiency among colleagues to enhance overall program success.
Skills and Qualifications:
- Experience in account management, client relations, or travel logistics is a plus.
- Strong attention to detail and organizational skills—you love keeping track of the little things.
- Ability to take ownership of tasks and work independently while maintaining team collaboration.
- Proficient in Microsoft Office programs, such as Excel, Word, and Outlook, with a willingness to learn additional software.
- Proficiency in email management using filters, folders, and maintaining a clean inbox.
- A positive, customer focused attitude with excellent communication skills—both written and verbal.
- A passion for providing high-level client service.
- Commitment to excellence in all tasks, with a willingness to go the extra mile.
- Ability to work as a team with other account managers to provide support and back up.
