Job Summary:
We are looking for a dynamic and detail-oriented Event Coordinator to join our team and oversee the planning and execution of private and corporate events at our event space and restaurant. This role requires strong organizational skills, exceptional customer service, and the ability to multitask in a fast-paced environment. You will be responsible for coordinating all aspects of events, from initial inquiry to post-event follow-up, ensuring a seamless and memorable experience for clients and guests.
Key Responsibilities:
Event Planning & Coordination:
- Work with clients to understand their vision, budget, and event needs, including weddings, corporate gatherings, private parties, and special restaurant events.
- Plan, organize, and oversee events from start to finish, ensuring all details align with client expectations and venue capabilities.
- Coordinate event logistics, including venue setup, catering, décor, entertainment, and staffing.
- Act as the primary point of contact for clients, vendors, and internal teams before, during, and after events.
Venue & Restaurant Collaboration:
- Work closely with the restaurant and kitchen team to coordinate food and beverage offerings, ensuring menu selections align with client preferences and dietary requirements.
- Schedule and oversee event staff, including servers, bartenders, and support staff, to ensure smooth event execution.
- Maintain effective communication between the restaurant, kitchen, and event operations teams to optimize service flow.
Sales & Client Relations:
- Respond to event inquiries, conduct venue tours, and provide detailed proposals and contracts.
- Build and maintain strong relationships with clients to encourage repeat business and positive word-of-mouth referrals.
- Assist in marketing and promotional efforts for events, working with the sales and marketing team to generate leads.
Administrative & Operational Duties:
- Manage event bookings, contracts, invoices, and deposits.
- Ensure compliance with venue policies, health and safety regulations, and licensing requirements.
- Monitor event budgets and work with clients to maximize their experience within financial constraints.
- Conduct post-event evaluations, gathering feedback to enhance future event experiences.
Qualifications & Skills:
- Experience: 2 years in event planning, hospitality, or a similar role in a restaurant or event venue setting.
- Skills: Strong organizational, problem-solving, and multitasking abilities.
- Customer Service: Excellent communication and interpersonal skills with a client-first approach.
- Teamwork: Ability to work collaboratively with chefs, service staff, and management.
- Tech Savvy: Proficiency in event management software, CRM systems, and Microsoft Office (Word, Excel, Outlook).
- Flexibility: Willingness to work evenings, weekends, and holidays as needed.
- Attention to Detail: Ability to anticipate client needs and proactively resolve issues.
Preferred Qualifications:
- Experience in a restaurant setting with knowledge of food and beverage service.
- Familiarity with event sales and marketing strategies.
- Certification in event planning, hospitality management, or related fields.
