Purpose
The Admissions Specialist, under the supervision of the Admissions Supervisor, is responsible for conducting an efficient initial assessment process for all clients by receiving referrals, gathering and verifying pertinent information, and completing necessary procedures to complete intakes for both residential and outpatient clients. The Haven endorses a trauma-informed care approach and a medical model of SUD treatment.
Essential Functions
- Receives inquiry phone calls (as designated by Admissions Supervisor) from clients and/or referring professionals and conducts an initial assessment to determine eligibility and appropriate level of care. Follows up with scheduling an intake appointment or refers to a more appropriate provider.
- Ensures inquiry calls are managed with a sense of urgency, including timely, strategic follow-ups and connections with Haven resources (e.g. early involvement of counselors, case managers, and peer mentors).
- Ensures funding is available by checking client’s enrollment with the AHCCCS system by utilizing the AHCCCS and T\RBHA portals and/or verifying other funding sources such as commercial insurance or self-pay.
- Completes the required intake documents, assessments and initial services plan for client entry into The Haven with a high level of attention to detail. Processes the necessary information to enroll clients into treatment. Obtains prior authorizations from the referring agencies.
- Contacts the client PCP, Probation Officer, DCS, and other involved providers to ensure correct information is entered into the client record after obtaining client written permission.
- Accurately inputs clients into the electronic medical record system so intake team members can complete referrals, assessments, and Intakes in a timely manner.
- Obtains Assessments and Service Plans from referring agencies and ensures they have been uploaded into the electronic medical record.
- Assists clients in completing information requests for current/recent providers of mental health and medical care to ensure continuity of care.
Other Duties and Responsibilities
- Interacts with Haven staff to communicate appropriate information about admission to treatment.
- Clearly explains program features and benefits, including medical, therapeutic and financial components.
- Attends Haven meetings for clinical and program awareness.
- Performs other related duties as assigned.
Qualifications
Qualifications
- Must be qualified as a Behavioral Health Technician with
- at least a Bachelor’s Degree in the field; or
- a Bachelor’s Degree in any field and 1 year of behavioral health experience; or
- an Associate’s Degree and 2 years of behavioral health experience; or
- a high school diploma or GED and 4 years of behavioral health experience
- Must have an AZ Level-1 Fingerprint Clearance Card upon hire and maintain it throughout employment.
- Must have knowledge in case management and intake processes is preferred.
- Must have an understanding of the behavioral health field and funding systems.
- Must have knowledge of Substance Abuse Disorders including diagnosis codes.
- Must have excellent computer skills and be able to demonstrate those skills.
- Must have experience with an electronic medical record system.
- Must possess excellent customer service skills.
- Must possess excellent written and verbal communication skills, with the ability to compose and proofread written materials.
- A Master’s Degree and Arizona counseling license through the AZBBHE is preferred.
