Administrative Leadership
Job Summary
We are seeking a dedicated and experienced Office Manager to oversee the daily administrative operations at The Healing Palace. The ideal candidate will possess strong leadership skills and a background in medical administrative support, preferably within a behavioral health or healthcare environment. This role is crucial for ensuring efficient practice management, maintaining high standards of patient care, and fostering a positive work environment.
Duties Key Responsibilities:
Administrative Tasks
- Manage day-to-day clinic operations, including scheduling, billing, and client management systems.
- Monitor office supplies and equipment, ensuring the clinic is adequately stocked and operational.
Financial Management
- Oversee billing and insurance claims processes, ensuring timely and accurate submissions.
- Track clinic revenue and expenses, providing regular financial reports to the Executive Director.
- Develop budgets and financial forecasts in collaboration with the leadership team
Staff Coordination
- Support hiring, onboarding, and training of clinical and administrative staff.
- Facilitate team meetings to address operational updates, challenges, and goals.
- Monitor staff performance and provide constructive feedback and development opportunities.
Client Services
- Ensure a welcoming and professional environment for all clients.
- Support client intake and scheduling processes to maintain clinic efficiency.
Compliance and Quality Assurance
- Ensure adherence to all legal, regulatory, and ethical standards in mental health service delivery.
- Conduct periodic audits of clinic operations, identifying and addressing areas for improvement.
- Develop and update clinic policies and procedures to align with best practices.
Strategic Planning
- Collaborate with the Executive Director to set and achieve clinic goals.
- Identify opportunities for program expansion and enhancement of services.
- Monitor industry trends and innovations to keep the clinic competitive and effective.
Qualifications:
- Bachelor’s degree in healthcare administration, business management, or a related field (Master’s preferred).
- At least 5 years of experience in healthcare or mental health practice management.
- Strong leadership and organizational skills, with the ability to manage multiple priorities.
- Excellent communication and interpersonal skills.
- Proficiency in practice management software, billing systems, and Microsoft Office Suite.
- Knowledge of mental health regulations, insurance processes, and ethical guidelines.
Work Environment:
The Practice Manager will primarily work in a remote setting, with occasional travel for community engagement and professional development opportunities.
