POSITION OVERVIEW

The Assistant Operations Manager supports the Operations Manager in overseeing operations, staffing, budgets, and systems for Pivot Culinary, The Herb Box Catering, and The Herb Box Restaurants. This role ensures the smooth execution of day-to-day tasks and assists with logistical coordination, team management, and operational efficiency. The ideal candidate is organized, adaptable, and results-driven, with the ability to thrive in a dynamic and fast-paced environment.

Additionally, this role oversees logistical operations, including inventory management, deliveries, and transportation, while ensuring high standards of food safety, customer service, and operational compliance.

WORK HOURS

This role is required to work a minimum of 40-50 hours per week.  They must be able to work flexible scheduled shifts based on business needs Monday - Sunday. Occasional scheduling will include nights and weekends depending on events and functions. Some travel will be required.

RESPONSIBILITIES & DUTIES include but are not limited to :

PIVOT CULINARY

PAPER GOODS MANAGEMENT

  • Assist in maintaining par levels and placing supply orders.
  • Support kitchen operations with pack-outs and organization.
  • Operate the Date Code Genie system for database maintenance and label printing.

SCHEDULING & PAYROLL

  • Assist with scheduling Front of House (FOH) and Operations (OPS) staff, including Facility Servers and Stewards.
  • Support FOH / BOH time punch audits and payroll processing.
  • BUDGET MANAGEMENT

  • Help track and manage budgets and labor costs.
  • Assist with auditing and processing invoices using systems like Margin Edge.
  • OPERATIONS MANAGEMENT

  • Support labor, equipment, and operational standards for all Sports Facilities.
  • Assist in managing grocery, paper goods, and beverage needs.
  • Help create and update supply order guides.
  • SYSTEMS & SOPS

  • Contribute to building, updating, and implementing standard operating procedures (SOPs).
  • Assist in maintaining operational standards and completing Zenput reporting.
  • Analyze Zenput reports to recommend and support service adjustments.
  • FLEET MANAGEMENT

  • Assist with the service, cleaning, and assignments of fleet vehicles.
  • TRAVEL & INVENTORY MANAGEMENT

  • Support cargo shipping, packing, and travel assignments.
  • Help maintain par levels for inventory, including paper goods and beverages.
  • FOOD SAFETY & HOSPITALITY

  • Ensure compliance with all food safety regulations and standards.
  • Maintain a clean, organized, and hazard-free environment.
  • Regularly monitor food and refrigeration temperatures.
  • Deliver high-quality customer service to clients and customers.
  • OPERATIONAL OVERSIGHT

  • Support daily operations, ensuring quality, safety, and budget goals are met.
  • Assist with the management of facility logistics, including kitchen setup and equipment checks.
  • Ensure compliance with all local, state, and federal health codes.
  • FACILITY & VENDOR MANAGEMENT

  • Monitor and maintain sports facility production, including cleanliness and sanitation.
  • Support sports facility operations during spring training and year-round events.
  • Manage vendor relationships for supplies and services.
  • THE HERB BOX

    SCHEDULING & PAYROLL

  • Assist with scheduling FOH offsite staff, including servers, bartenders, and captains.
  • Conduct time punch audits and oversee gratuity processing.
  • BUDGET MANAGEMENT

  • Support budget tracking and financial management for catering operations.
  • Assist with invoice processing and financial tracking in MarginEdge
  • EVENT OPERATIONS

  • Help manage labor assignments for casual catering, full-service catering, and PDR / buyout events.
  • Assist with equipment preparation and fleet coordination for events.
  • Provide support for PDR / buyout catering, including equipment pack-outs and setup assistance.
  • SYSTEMS & SOPS

  • Support the development and implementation of systems and SOPs to improve efficiency.
  • DELIVERY PREPARATION & COORDINATION

  • Prepare delivery packs, ensuring accuracy and adherence to system requirements.
  • Create and manage labels for delivery items.
  • Assist with packing utensils, plates, and cutlery for delivery orders.
  • PROCUREMENT & DELIVERIES

  • Oversee procurement and deliveries of paper goods, beverages, and packaging.
  • Help manage logistics using systems such as EZ Cater and Toast.
  • ADDITIONAL RESPONSIBILITIES

    TEAM COLLABORATION

  • Promote professionalism and a team-oriented work environment.
  • Collaborate with internal teams to ensure seamless communication and execution.
  • Participate in cross-functional projects as needed.
  • ADMINISTRATIVE DUTIES

  • Organize and maintain operational files and records.
  • Attend daily / weekly staff and department meetings.
  • Complete all assigned training and continued education requirements.
  • Maintain confidentiality and integrity of sensitive information.
  • REQUIREMENTS & QUALIFICATIONS

  • Relevant experience in operations, staffing, and budgeting.
  • Strong organizational and multitasking skills.
  • Familiarity with operational systems such as Margin Edge, Zenput, EZ Cater, and Toast is a plus.
  • Excellent communication and problem-solving abilities.
  • Ability to work in a fast-paced, dynamic environment.
  • Flexibility to travel and work nights, weekends, and holidays as needed.
  • Ability to lift up to 50 pounds and stand for extended periods.
