Job Summary:
The Administrative Human Resource and Front Desk Assistant will perform administrative tasks and services to support effective and efficient operations of the organization's human resource department.

Duties/Responsibilities:
- Greet and welcome visitors in a professional and friendly manner.
- Answers the switchboard and, if requested, takes messages when the receiving party is not available.
- Receives and distributes incoming faxes to appropriate party via email.
- Greets visitors to Hilldrup, ascertains name and what firm they represent, requests visitors to sign and date logbook, and informs appropriate employees of visitor's arrival. Ensures that all visitors are escorted.
- Greets and informs job applicants of the application process and contacts HR or hiring manager of arrival of interviewees.
- Updates monthly phone lists and birthday calendars in a timely manner and communicates to Hilldrup staff.
- Manage the front desk, answer phone calls, and direct inquiries to the appropriate staff members.
- Maintain the reception area’s cleanliness and organization.
- Coordinate visitor access and ensure compliance with security protocols.
- Assist with scheduling meetings, managing conference rooms, and ordering supplies for office needs.
- Assist with onboarding and offboarding processes, including scheduling interviews, processing paperwork, and preparing orientation materials.
- Maintain employee records, ensuring confidentiality and compliance with company policies and legal requirements.
- Support HR in, preparing reports, and organizing events or training sessions.
- Handle employee inquiries and provide administrative assistance as needed.
- Manage incoming and outgoing mail and packages, ensuring timely distribution to the appropriate recipients.
- Maintain accurate logs of mailroom activities and deliveries.
- Coordinate with couriers and vendors for shipments and deliveries.
- Monitor and replenish mailroom supplies as needed.
- Receives and distributes office mail.
- Proofreads and types documents and correspondence produced by department.
- Processes required paperwork for employee transfers, changes in job classification, salary increases, and other related employment matters.
- May assist with preparation of human resource reports such as attendance, new hire, and turnover reports.
- Prepares purchase orders for human resource office.
- Initial contact at Stafford-Corporate Headquarters for customers, visitors, guests, and applicants. Communicates with Hilldrup employees on a daily basis. Works in a normal office environment
- Performs other related duties as assigned.

Qualifications And Skills
- Education: High school diploma or equivalent required; associate or bachelor’s degree preferred.
- Experience: 1-3 years of experience in a similar administrative, HR, or receptionist role preferred.

- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other office tools.
- Ability to multitask and prioritize in a fast-paced environment.
